Our Minneapolis headquarters has an immediate opening for a full-time Senior Payroll Specialist. The payroll specialist is responsible for the processing of biweekly payroll, processing timesheets from the accounting system, serving as a liaison to employees for payroll and other accounting needs, and performing other accounting duties as assigned. This position offers the opportunity to work a hybrid schedule after the initial training period. Job Description: Audit, reconcile and record a wide range of personnel actions and payroll documents for more than 370 employees. Process employee data (new hires, changes, additional earnings) from the HR system to the payroll system. Work closely with HR in confirming all information is updated by HR or Payroll for new hires and payroll related changes. Process employee Time & Attendance data from the Time system to payroll and reconcile variances. Process verification of employment requests and garnishments, and wage levies. Train newly hired employees on the time and expense entry system when needed. Track time sheet submission and ensure that all time sheets are entered and audit, for accuracy. Complete bank reconciliations. Process accurately employee pay and ensure federal and state tax reporting is completed by outside payroll firm. Process and transmit biweekly payroll to Paylocity. Maintain several excel spreadsheets of various data for company staff. Audit biweekly payroll and review/prepare payroll reports. Interact with 401(k) provider for data transmission/receipt and information audits. Assist employees in registering for or resetting access to online pay stubs. Provide customer service to employees for pay, benefits and taxes as they relate to their pay, how to enter time or time off, where to locate forms and information on company's intranet, where to send completed forms, who to contact for benefit questions and how to obtain IRS instructions on withholding issues. Develop an in-depth understanding of Payroll software to be able to create reports on demand. Perform data entry, prepare journal entries for end of month accounting process. Assist with annual audits (WC, 401k, and Overhead). Set up state income tax and state unemployment tax accounts in new states when needed and work with payroll provider to get them mapped correctly for the general ledger. Additional duties as assigned. Requirements: 4-year degree preferred, but not required. Minimum of 10 years of payroll / accounting experience with 2 or more years of Paylocity experience; knowledge of Vantagepoint software is a plus. Detail-oriented and able to work under tight deadlines. Knowledge of multi-jurisdictional tax liabiliti s or how to find the requirements. Mid-level to strong excel skills a must. Ability to deal with difficult, sensitive and confidential information. Positive attitude and excellent customer service skills An understanding of accounting and management reporting. Strong organizational, time management and prioritization abilities. Excellent communication skills as well as the ability to excel in a team environment.
