Montclair Administrative Assistant for the Animal Shelter in Montclair, New Jersey

Job Title: Administrative Assistant, Montclair Township Animal Shelter Summary: Plays a crucial role in supporting the daily operations of the animal shelter. In addition to filing, scheduling, handling correspondence and answering inquiries, performs duties such as data entry, recordkeeping, and obtaining supplies. Performs other related duties as required. Work is performed under general direction from the Animal Shelter Director and/or Director of Health and Human Services, who review performance for conformance to departmental policies and procedures.

Duties: Provides general administrative support to ensure smooth operations of the animal shelter. Maintains accurate records of animal adoptions, surrenders, and other pertinent information. Handles email and phone inquiries, assists in drafting correspondence. Receives visitors, arranges meetings, and coordinates appointments for animal visits, vaccinations, and other related activities. Updates and manages the shelters database with relevant information on animals and adopters. Assists in organizing and coordinating events and fundraisers for the shelter. Assembles pertinent files and materials relevant to correspondence and reports; maintains files. Acts as office liaison between other departments and within the Health Department. Prepares specifications for purchase of equipment, as directed, and maintains budget records of expenditures. Helps the department to maintain good relations with the general public. Handles confidential and non-routine information and explains policies when necessary. Works independently and within a team on special nonrecurring and ongoing projects. Requirements: High School graduate or equivalent. Bachelors degree strongly preferred; applicable experience may be considered in lieu of degree. Three (3) years of administrative experience in a public or private organization. Must be available to work one (1) weekend day per week (weekly shift is comprised of four weekdays and one weekend day). Successful candidate must possess excellent organizational skills, strong proficiency in MS Word and Excel, and compassion for animals. Salary: $50,722.00 71,818.00, includes benefits.
