Catholic Charities West Michigan Receptionist (Part Time) in Muskegon, Michigan

Position Summary

This position provides support and customer service by answering phones, greeting clients, and providing administrative support as needed.  This part-time position will be scheduled for approximatley 10 hours per week.

Essentials Duties and Responsibilities
  • Answers multi-line phone system, directs calls, and answers inquiries.
  • Serves visitors by greeting, welcoming and directing them appropriately.
  • Ensures lobby is well managed and guests are accounted for.
  • Complies with safety and security procedures. Assist with safety drills as directed.
  • Maintains knowledge of Agency staff, programs and services and community resources.
  • Accepts donations and notifies appropriate staff.
  • Provides administrative support to Behavioral Health (provide paperwork, make reminder calls, take payment as appropriate).
  • Signs for deliveries and ensures all mail and packages are distributed in accordance to agency policy.
  • Ensures that outgoing mail is sent.
  • Assists with postage machines adding postage as required.
  • Organizes receptionist station and mail room.
  • Ensures safety of client entrances during inclement weather.
  • Other duties at the request of the supervisor.
Other Knowledge, Skills, and Abilities
  • Knowledge of basic software applications and basic single-operating system.
  • Knowledge of MS Outlook and Word. Excel preferred.
  • Strong oral and written communication skills.
  • Strong problem-solving skills and customer service orientation.
  • Ability to multi-task.
  • Ability to relate to diverse populations and cultures while communicating in a courteous and effective manner.
  • Must be able to work day and evening shifts as needed.
Recommended Employment Qualifications

Education:

  • A minimum of a high school diploma, some college experience preferred.

Experience:

  • A minimum of six months of office administration experience.
