Grant Funded Position-continued employment contingent on funding

This is a clerical position responsible for secretarial, technical and/or administrative work. Responsible for planning, organizing, and performing a wide variety of administrative activities and may require supervision of one or more clerical assistants in carrying out the details of the work. May compose and/or prepare brochures and flyers for a variety of University programs and conferences. May receive and process incoming and outgoing mail for the department on a daily basis. May schedule and coordinate luncheons, meetings, and conferences. Types memorandums, letters, reports and forms. Work may require extensive interaction with students and planning of individual degree programs. May balance departmental books on a regular basis. May receive, record and deposit fees. May operate microcomputer using word processing, database and other software. Requires frequent contact with other University or state agencies and the general public. Works under general supervision and is subject to review through conferences with the administrator. Duties may vary due to emphasis on specialized activities of various departments. Reports to a department administrator.

Essential Job Functions

  1. Assists administrator in the development of departmental policies and procedures.

  2. Interprets policies and explains procedures relating to the activities of the department.

  3. May maintain departmental bookkeeping/accounting, including billing.

  4. Prepares special and routine reports and maintains departmental records.

  5. Receives incoming mail and composes replies as required.

  6. May sign and approve requisitions, vouchers and other routine documents.

  7. Compiles statistical data and prepares various studies of departmental activities.

  8. Assists in counseling students and providing information relating to the function of the department.

  9. May act in administrator’s behalf in his/her absence.

  10. May schedule appointments for supervisor and process confidential information.

  11. May complete degree plans and provide course curriculum information where applicable.

  12. May maintain time and payroll records for the department.

  13. May take and transcribe dictation as required.

  14. Answers and routes incoming telephone calls to department.

  15. May compile and process monthly reports to other departments and outside agencies.

  16. Types routine correspondence for department administrator and other staff members as required.

    Non-Essential Job Functions

  17. May receive and/or supervise the receipt of payments from students and others for departmentally sponsored activities.

  18. May train and supervise other clerical staff.

  19. May instruct or supervise others in computer terminal usage.

  20. May be involved in screening and evaluation of applicants for departmental clerical positions.

  21. May assist with registration.

  22. May act as receptionist.

  23. May assist students with scheduling problems.

  24. Performs other related duties as assigned.

    Required Knowledge, Skills, and Abilities

The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

  1. Knowledge of, or ability to learn, university and departmental policies and procedures.

  2. Knowledge of, or ability to learn, university and departmental degree requirements.

  3. Skill in the use of standard office equipment and software.

  4. Ability to communicate effectively in both oral and written form.

  5. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.

  6. Ability to work independently of supervision.

  7. Ability to work effectively with students, university faculty and staff, and the general public.

  8. Ability to work with and maintain confidential information.

    Physical Demands

    Required Education

High school diploma or equivalent is required.

Required Experience and Training

Three years of related experience is required. Experience in general office practices and procedures, including at least two years experience in an administrative/secretarial position, is required. Familiarity with word processing equipment and software is required.

Preferred Qualifications

Some supervisory experience is highly preferred.

Special Conditions for Eligibility

This is a security-sensitive position subject to criminal record check.

This is an IT-sensitive position subject to the Computer and Network Security policy.

Specific Job Requirements/Duties for this Posting

This position will provide administrative support to the Nursing Shortage Reduction grant and reports to the director.

Benefit and Retirement Eligibility

This position is eligible for participation in the Teacher Retirement System of Texas ( TRS ) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
