Job Summary:
We are seeking an experienced Admin Assistant to join our team client side. The ideal candidate will have 3-4 years of experience in administration, strong expertise in vendor management, commercial handling, and proficiency in preparing and maintaining MIS reports. The role requires someone who is detail-oriented, organized, and can efficiently manage daily administrative tasks to ensure the smooth operation of the office.
Key Responsibilities:
Vendor Management: Oversee vendor relations, including sourcing, negotiating, and managing contracts for various office supplies and services. Ensure timely delivery and payments while maintaining positive working relationships with vendors.
Commercial Handling: Assist in managing office expenditures, maintain records of office supplies, and ensure cost-efficient purchasing practices. Process invoices, purchase orders, and handle petty cash for day-to-day transactions.
MIS (Management Information System): Prepare, update, and maintain MIS reports to support decision-making processes. Ensure data accuracy and timely submission of reports to management.
Office Administration: Support day-to-day administrative activities, including office maintenance, managing office inventory, and coordinating internal events or meetings.
Communication: Act as a point of contact for internal and external communications, managing correspondence, and facilitating smooth office operations.
Document Management: Maintain proper documentation for administrative, vendor, and commercial activities, ensuring all files and records are up-to-date and easily accessible.
Compliance: Ensure that the office operations comply with company policies, safety protocols, and legal requirements.
Coordination: Assist in coordinating meetings, preparing meeting agendas, minutes, and following up on action items.
Qualifications and Skills:
Bachelor's degree or equivalent in Administration, Commerce, or related fields.
3-4 years of proven experience in administration, vendor management, and commercial handling.
Proficiency in MS Office, especially Excel, for MIS reporting.
Strong organizational skills with attention to detail.
Excellent communication and interpersonal skills.
Ability to multitask and handle various office-related responsibilities efficiently.
Problem-solving attitude and proactive approach in managing office needs.
