Posting Summary
Rutgers, The State University of New Jersey, is seeking a Business Specialist for the Department of Chemistry and Chemical Biology within the School of Arts and Sciences.Among the key duties of this position are the following:
  • Provides full life cycle (pre and post award) grant support to assigned Principal Investigators (pi s) in the Department of Chemistry and Chemical Biology (CCB), including proposal development, proposal submission, account administration, reconciliation, close-out and effort reporting for assigned departmental accounts and sponsored program accounts.
  • Works with management and pi s to develop budgets and to prepare sponsored program proposal submissions.
  • Monitors and approves procurement activities.
  • Approves and tracks account and award expenditures.
  • Tracks effort certification for accuracy.
  • Manages close-outs of grant and non-grant accounts at fiscal year-end and project accounts as needed.
  • Analyzes data and prepares monthly, quarterly and annual budgets, forecasts and reports related to assigned accounts.
  • Assists personnel with expense reimbursement requests and processing.
  • Regularly monitors, projects and reconciles assigned accounts.
  • Prepares Employee Charging Instructions and resolves payroll issues.
  • Assists with special projects as required.

Qualifications

Minimum Education and Experience
  • Bachelor's degree in accounting, finance, business administration, or related field; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of grants management and generally accepted accounting principles and practices.
  • A minimum of two years relevant experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Knowledge and understanding of pre-award processes including sponsor requirements, proposal development and proposal submission.
  • Must have excellent communication, interpersonal and organizational skills, and the ability to work effectively across all levels of personnel.
  • Must have solid working knowledge of Excel.
Preferred Qualifications
  • Current driver's license to attend meetings campus-wide and off-campus.
  • Experience also preferred with Rutgers University system applications such as RAPSS, Cornerstone, HCM and SciQuest.
  • Experience in an academic/research or similar environment.
  • Advanced competency with Excel is preferred.
Equipment Utilized
  • Computer literacy in Windows, and ability to utilize applications such as Word, Powerpoint, e-mail, electronic calendar, internet browsers, Acrobat and data tracking tools required.
Physical Demands and Work Environment
  • The work environment is busy with activity of students, faculty and staff.
  • This position must manage competing priorities and deadlines while attending to regular inquiries and problem resolution in a hectic work environment as variable challenges present demands on a daily basis.
  • Must be able to handle interruptions and quickly re-establish focus on multiple tasks at hand on a continual basis.
