Job Overview:
The Program Administrator collaborates with departmental and health system leadership to develop and manage operational, fiscal, and administrative systems to create a dynamic clinical department that offers comprehensive and specialized ENT care to patients throughout NJ in various practice settings.
Qualifications:
Required:
Bachelor's Degree required; Finance, Business Administration, Information Technology, or other related discipline is preferred
At least 4 years of work experience
Project management ability is required to plan and execute solutions to complex business challenges
Excellent written, oral, and interpersonal skills
Proficiency with Microsoft Office - Word, Excel, PowerPoint
Preferred:
Experience working as a financial, budget or business analyst
Experience in medical practice management - operational and/or financial
2 years of experience at the supervisory/management level
Experience with computer-based accounting systems
Essential Functions:
Responsible for administration of department and Service Line
Collaborates with practice operations staff on department and Service Line operational needs
Leads departmental physician engagement initiatives
Accountable to reconcile monthly billing for clinical work done by providers; Manages routine meetings with coding and revenue cycle teams as needed; Keeps physicians updated on new cpts, coding requirements, etc,
Keeps up to date on Epic workflows and collaborates with practice operations teams to ensure workflows are optimized; Ensures all staff members have up to date Epic access and training; Resolves Epic tickets and acts as conduit to providers
Evaluates new and existing programs, conducting comprehensive assessments of facility requirements, faculty support, equipment purchases, office supplies, funding, and staffing; Reports findings to clinical, operational, and administrative leaders
Assists with operationalizing faculty schedules, projects, and new program development, with the approval of the Chairman s Office and Service Line leadership
Assists in managing the division finances; Performs analyses to identify revenue collection issues, reconciles expenses, and develops business plans under the direction of leadership
Ensures that financial and management systems are accurately maintained
Prepares regular and special reports to interpret financial, operational, and/or administrative directives and to establish policies for carrying out directives
Implements changes to procedure with the approval of applicable leadership
Supports Departmental and Service Line leadership in developing an annual operating budget while ensuring it aligns with strategic priorities
Participates in strategic planning in concert with the Departmental goals which contribute toward market growth, revenue enhancement, cost containment/maximizing productivity, and operational priorities
Contributes to Dean s Report regarding clinical activity
Establishes proactive communication with all practices, visit on a routine basis, and communicate regularly with providers
Completes special projects assigned by the Department and/or Service Line on an as needed basis
Keeps abreast of all pertinent federal, state, Health System, and University regulations, laws, and policies as they presently exist and as they change or are modified
Ensures that the staff are trained and evaluated on their knowledge of and adherence to compliance policies and procedures specific to their jobs
Understands and adheres to Health System and University compliance standards
