Job Description

General Scope of Duties

Provide support to chairs of academic departments and to other faculty department members.

General Duties and Responsibilities

  1. Monitor department budgets in consultation with the chair; order and receive merchandise, process invoices, prepare budget proposals, review Pcard purchases, and reconcile with Banner.

  2. Manage events to include scheduling rooms and equipment, preparing and overseeing digital, social media and/or print announcements and promotions, ensuring honoraria are paid, ordering chairs, arranging for food, and making travel arrangements for outside speakers.

  3. Supervise student workers and ensure timesheets are submitted for student workers.

  4. Maintain email list of majors and minors, and assist the department chair in calculating honors for graduation.

  5. Coordinate assembly of faculty personnel review files, following procedures as specified in IFF , review for completeness, and produce final file.

  6. Support department searches including placement of ads, following AA search procedures, coordination of candidate travel, preparation of on-site schedule, and follow-up correspondence.

  7. Assist the chair in managing department curriculum, scheduling courses, and completion of forms, communicating with Registrar.

  8. Assist the chair in orienting new faculty members to department procedures, arrange for equipped office, and provide information for getting keys, parking stickers, and campus ID.

  9. Assist the chair in preparing for visiting committees, including scheduling and arranging for meeting spaces and meals.

  10. Liaison with faculty members on leave, including sorting and forwarding business mail, answering questions.

  11. Assist the chair in preparing student awards, including obtaining transcripts for faculty to make selections.

  12. Prepare, review, copy and file a variety of memorandums, correspondence, reports, forms, invoices and documents, maintain digital and print files including faculty personnel files and student portfolios, and sort and distribute mail.

  13. Liaison to other college departments, i.e., Events, Accounting, Print Shop, Physical Plant, etc.

  14. Respond to emails, calls and visitors by promptly providing information/assistance and/or direct to appropriate personnel.

  15. Act as point of contact for Student Advisory Board.

  16. Maintain course evaluations for faculty in the departments.

  17. Arrange for procurement of specialized teaching equipment.

Department/Program-specific duties

  1. Work with faculty to schedule senior tutorial timeline, outside speakers, and lecture rooms; email weekly or bi-weekly reminders to students and faculty members.

  2. Manage up to six New York bus trips per year to include reserving buses, sending out notices, take reservations and payment and hiring student bus manager.

  3. Work with admissions on student open house (two per year); set up portfolio reviews, prepare evaluation file and return evaluation to admissions.

  4. Maintain and update department websites.

  5. Assist with administration of the art gallery, including up to three professional shows and the senior exhibition.

    Education and Skills

  6. High School Diploma required with 1 – 3 years of experience

  7. Strong written and verbal communication skills

  8. Ability to interact well with a variety of people from all aspects of the college and community

  9. Proficient in Microsoft Office and Google App suite

  10. Digital media skills are a plus

  11. High integrity needed to handle confidential information

  12. Knowledge of general office equipment

  13. Attention to detail

  14. Well-organized, able to work under pressure, plan and accomplish goals

  15. No travel required
