The Mount Sinai Health System Administrative Assistant II-Cardiology in New York, New York

JOB DESCRIPTION

The Administrative Assistant II is an experienced administrative support professional who provides a wide variety of administrative support services to the Director of the Metabolism & Lipids Program (Robert Rosenson, MD) at the Icahn School of Medicine at Mount Sinai. This individual may serve as an administrative liaison with others related to purchasing, human resources, facilities and operations.

RESPONSIBILITIES

  • Handles complex scheduling and calendar management for Program Director including domestic and global in-person and virtual meetings, conferences, and lectures.

  • May make travel arrangements for Program Director. Prepares travel reimbursements and expense reports.

  • Screens and prioritizes incoming mail & email communications for needed action and follow-up. Responds where appropriate or distributes communications requiring attention to appropriate individual(s).

  • Screens telephone calls, answers inquiries or directs callers to the appropriate individual for further information and/or resolution.

  • Assists in the development and coordination of informational packets for meeting participants & visitors. Transcribes and distributes meeting minutes.

  • Assists Program Director with the preparation of PowerPoint presentations/slide decks for local, national, and international speaking engagements and conferences.

  • Assists with the preparation and submission of manuscripts involving Program Director. Researches and adheres to formatting guidelines for a variety of scientific journals.

  • Checks materials submitted for the Program Director’s attention to ensure all relevant data, authorizations and pertinent information are included.

  • May develop, update and/or revise informational flyers, brochures, leaflets and mailings.

  • Researches, locates and compiles information for reports, including yearly Faculty Scholarly Activity Reports. May assemble and categorize figures for computation and calculations.

  • Ensures adequate restock of supplies for Program Director and, as needed, the Program. Takes inventory or examines merchandise to identify items to be reordered or replenished.

  • Investigates, evaluates and resolves typical administrative or operational problems or situations affecting the Program Director.

  • Serves as a liaison with other departments or external parties as necessary to accomplish objectives and or complete projects or assignments.

  • May participate in the completion and routing of grant applications, CDAs, and other special projects.

  • Performs other related duties.

QUALIFICATIONS

  • Associates degree or equivalent combination of experience (Bachelors preferred)

  • 4+ years related administrative and/or business experience supporting individuals in leadership roles

  • Superb written and verbal communication skills

  • High proficiency in MS Office and Adobe Acrobat Suite
