The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Administrative Coordinator is responsible for managing daily practice operations, adhering to all FPO "Best Practices" Policies and Procedures, and supporting administrative functions of the Celiac Disease Center.

Responsibilities

Practice Support:

  • Meet and greet patients professionally, providing excellent customer service.
  • Answer multi-line telephones and triage calls/messages to appropriate parties throughout the day.
  • Collect and follow up on messages from the answering service each morning.
  • Verify physician's participation list against patient's insurance to ensure network coverage. If out-of-network, create an estimate, notify the patient of financial liability, and collect payment at the time of service.
  • Verify patient insurance using RTE, online resources, and telephone when necessary.
  • Schedule patient appointments for Dr. Green's practice and dietician appointments using the Epic platform and Referral WQ.
  • Register new patients and update demographics/insurance information using the Epic platform.
  • Schedule follow-up ancillary services as needed.
  • Check in patients, request insurance cards, picture ID, pharmacy contact, obtain all pertinent medical records, and complete all intake forms including HIPAA consents. Scan forms into Epic folders according to guidelines.
  • Check out patients following FPO cash management guidelines by collecting TOS payments, posting all payments in Epic, generating patient receipts, preparing deposits, and reconciling against the daily schedule.
  • Mail test results, procedure reports, and pathology results to patients and their non-Epic referring doctors.
  • Assist with lab requisitions and preauthorization of procedures using online web links.

Administrative Support:

  • Process Celiac Center gifts, send acknowledgments for each gift, and maintain the main donor log.
  • Maintain the Center's contact database.
  • Assist with the Center's annual gala, biennial conference, and other events throughout the year.
  • Handle all administrative functions, including ordering/moving phone lines, travel arrangements, expense reports, and ordering lab and office supplies.
  • Performs additional related duties as needed.

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience.
  • Knowledge of practice operations with specific understanding of Managed Care plans and Medicare, including referral and authorization processes.
  • Expertise in managing all aspects of a medical practice.
  • Computer literacy, including keyboarding skills.
  • Pleasant speaking voice and demeanor with neat, professional appearance.
  • Strong written and verbal communication skills.
  • Highly detail-oriented and organized.

Preferred Qualifications

  • At least 2-4 years of experience in a medical office.
  • Proficiency in Spanish is a plus.
