ASPCA Compliance Data Specialist in New York, New York

What you'll do:

The Compliance Data Specialist supports Community Medicine programs as a member of CM's Business Operations team to ensure high quality and consistent data integrity, reporting, training, and auditing to comply with guidelines set forth by the ASPCA, grantors, state and city entities. The Compliance Data Specialist will produce and update Standard Operating Procedures, support CM staff in training and quality checks, update monthly department reports, respond to ad hoc data requests, and coordinate with other departments on system updates with a focus on budget, revenue, payroll, and inventory control functions, among others. These functions provide crucial information to the CM leadership team so they can make better decisions and provide support to the program teams to streamline compliance efforts so they can focus their energy on caring for animals.

The Community Medicine Business Operations team works collaboratively and often helps each other outside of their everyday responsibilities as needed. As a part of this team, the Compliance Data Specialist will assist with other duties as assigned, such as administrative and meeting coordination support. This role requires strong interpersonal, written, and verbal communication skills with the ability to influence others to perform tasks and work alongside colleagues to build efficient processes and troubleshoot when needed.

  • This remote-based position (which requires travel, as described below) is open to all eligible candidates based within the United States

Work Schedule and Location:

This position is remote from a home office but will be required to travel to Community Medicine Clinics in either New York City, Miami or Los Angeles approximately once per quarter or more depending on operational need. The schedule for this position is Monday through Friday, 8-hour shifts, with flexibility as needed. Some occasional overtime may be required. Shifts are subject to change at/in the sole discretion of the ASPCA.

Responsibilities:

Responsibilities include but are not limited to:

Data Integrity, Workflow Support and Training (50%)

  • Serve as subject matter expert & support department in effectively integrating systems used to process grant reports, service payments, expenses, payroll, budgets, etc.
  • Create and maintain Standard Operating Procedure manuals and job aids
  • Understand and communicate ASPCA policies around payroll, expenses, cash management, etc. to our teams and help them comply
  • Understand and research industry best practices when needed and incorporate into CM systems
  • Monitor and audit records to ensure data accuracy and consistency across teams in all locations
  • Facilitate data corrections when necessary, providing appropriate feedback to team leads
  • Work with clinic teams to ensure paperwork for government grants is completed
  • Train new and existing team members on usage and ongoing updates to processes; partner with end users to troubleshoot processes as needed
  • Support the rollout and adoption of new optimization features

Database and Reporting Support (40%)

  • Compile and review reports for internal audiences and grantors
  • Support leadership in monthly budget reforecasting by researching root causes of variations and documenting explanations
  • Review reports on a regular basis; identify trends and share information as needed to facilitate departmental efficiency and effectiveness
  • Respond to ad hoc data requests
  • Track department metrics and budget targets/variations
  • Provide input on ways to leverage technology to facilitate departmental efficiency and compliance with ASPCA, state and local regulatory requirements

Administrative Department Support (10%)

  • Support training and communications functions as needed
  • Participate in Community Medicine events and organizational activities
  • Build relationships with clinic teams to foster understanding of departmental work
  • Engage staff and gain support for standardized Business Operations functions

Qualifications:

  • Proficient in Microsoft Office including Word, PowerPoint and Outlook with advanced Excel skills (e.g. the ability to utilize pivot tables, use the vlookup function, create graphs, and develop automations to process data)

Education and Work Experience:

  • High School Diploma required, Bachelor's degree or equivalent experience preferred
  • Minimum of 5 years of professional experience required
  • Experience preparing professional documents (job aids, training documents, and reports) in a professional setting required
  • Experience in compliance, data analysis, or regulation interpretation is required
  • Experience working with budgets, cash handling procedures, or grant reporting strongly preferred
  • Experience with Workday or similar budget and/or expense tracking software preferred
  • Experience training colleagues is a plus
  • Experience using Domo or other data aggregation or Business Intelligence systems is a plus

Compensation and Benefits:

The applicable target hiring range for this remote role is based on where the employee works, which for remote roles is the employee's primary location of residence, and its respective cost of labor. We have organized the U.S. varying costs of labor index into three geographic zones. As a point of reference, below, we have included our ASPCA locations by geographic zone to illustrate what the hiring range would be in each of the following areas.

Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary ranges for this role are set forth below and may be modified in the future.

  • Zone 1 (For example, Asheville, NC; Champaign, IL; Columbus, OH; Gainesville, FL; Miami, FL; Oklahoma City, OK; Overland, KS; Union, MO; Weaverville, NC): $27.89 - $30.29
  • Zone 2 (For example, Washington D.C.; Los Angeles, CA): $30.77 - $33.18
  • Zone 3 (For example, New York, NY): $33.66 - $36.06
