The Role at a glance:

We are looking to add an experienced, motivated event manager to our Constellation team at Carnegie Hall in NY. The Event Manager leads the Operations team in Event preparation and execution. This role is responsible for ensuring all event details specifically as it relates to staffing requisitions, equipment rental orders, floor plan, steps of service and paperwork for the function are aligned with what is required to bring forward a successful event. The Event Manager will have a support team reporting directly to them to assist in coordination of +200 events over the full year generating +4 million in revenue.

Compensation: $85,000

What you'll be doing:

JOB RESPONSIBILITIES/ESSENTIAL FUNCTIONS

• Lead team to execute events that exceed the expectations of our client

• Support the overall needs of the Operation

• Meets with the Sales Team weekly to gather details for contracted events

• Meets with the Operations Team weekly to assign tasks for upcoming events

• Ensure Equipment rental order is submitted to rental company for a function 1 month prior to event date or within (2) business days if an event was booked within the one-month window

• Confirm Equipment Rental company delivery and pick-up timing is aligned with Carnegie Hall’s “Freight Service Elevator” schedule and is aligned with the needs of event

• Ensure Staffing Requisitions are submitted to Booking Manager for a function 1 month prior to event date or within (2) business days if an event was booked within the one-month window

• Confirm Event Staff report and out times meet the needs of the event

• Oversee distribution of paperwork to Event leadership team 48 hours prior to event date.

▪ Special Building notes such as other functions happening simultaneously in other areas of the facility

▪ Banquet Event Order

▪ Site Menu

▪ Floor Plan

▪ Staff Roster

▪ In-House Equipment Pull List: ex) Hors D’oeuvre platters, station vessels

• Review Final Assignment + Steps of Service created by Lead Event Captain to confirm it is aligned with information shared in paperwork

• Support General Manager in training of new service staff

• Create/Design Food stations for Special Events

What we're looking for:

Must-haves:

  • 5 years of catering/food-beverage and/or administrative/event experience

  • Very organized

  • Able to work independently and make the right decisions for the business

  • Basic PC knowledge and comprehension (Word & Excel)

  • Basic math knowledge and comprehension (addition, subtraction, multiplication, division, fractions, and percentages)

  • Excellent communication skills

  • Excellent staff management skills

Nice-to-haves:

  • Bachelor’s Degree in Management
