The Role
As an Event Specialist, you will work closely with the Event Lead to plan and execute high-value owned and sponsored events, supporting the sales team in expanding our business through growth and acquisition channels. This is a one-year contract role based in NYC, requiring hybrid in-office presence with travel and additional onsite event support during evenings and weekends.
What you'll do
  • Manage full lifecycle of hosted events including client networking and sales events, CHRO dinners, and webinars and support with sponsored events
  • Partner with Event Lead to plan and execute larger events such as client summits and brand activations
  • Lead internal team kickoffs, briefings, and debriefs
  • Research and book appropriate venues and activities for client events
  • Work cross-functionally with creative, social, Labs, and sales teams to manage the project lifecycle from inception to completion, using Asana as our preferred project management tool
  • Create and manage sales toolkits, client communication, and registration pages
  • Source and manage venues and vendors, including AV, food and beverage, and decor needs
  • Track and manage in-office inventory, place merchandise orders, and produce reports as needed

About You
  • 3-5 years of event planning experience, preferably in B2B
  • Highly organized and detail-oriented with the ability to multitask and take initiative
  • Effective stakeholder management skills
  • Strong written and verbal communication skills
  • Excellent problem-solving skills
  • Ability to prioritize workload and manage time effectively
  • Maintains a positive attitude with an enthusiastic work demeanor
  • Experience with Asana is a plus
  • Willingness and ability to travel is required
  • Available for a full-time weekly schedule, plus evenings and weekends for onsite events
  • Ability to work from the NYC office as required (2-3 days a week)
