Smithsonian Institution Management Support Specialist (Safety Officer) in New York, New York

Summary The Smithsonian Institution is the world’s largest museum, education, and research complex, with 21 museums and the National Zoo. This position is located within the New York Zone of the Office of Facility Management and Reliability (OFMR), Smithsonian Facilities, and Under Secretary for Administration. Responsibilities The Management Support Specialist (Safety Officer) include but are not limited to administrative staffing, communications support, logistics support, operations support, and safety and security management. In this position, you will: Perform administrative and/or program support work, such as planning, research, analysis, writing, correspondence control, communications, and/or liaison. Provide advice to staff concerning travel, procurement of services, contracts, and equipment needs. Participate in developing and maintaining automated systems for recording budget data. Establish and maintain accountability records for funds control, initiating and implementing new techniques where appropriate, to streamline record keeping and data retrieval. Plan and direct the work of the administrative staff. Work with subordinates in determining and planning fulfillment of employees' training and development needs. Verbally communicate procedures, policies, and alternatives; obtain information about operations and needs; coordinate personnel management. Draft written justifications for use of delegated authorities, position descriptions, award justifications, ads, announcements, procedural guidance, and rating criteria. Manage the safety program for staff, visitors, and volunteers. Qualifications Experience: For the GS-9, you qualify for this position if you have one year of specialized experience equivalent to at least the GS-07 level in the Federal Service. For this position, Specialized experience is defined as providing administrative duties for the operation of a central office such as financial oversight, tracking and overseeing budgets including the reconciliation of obligations and expenditures, and maintaining accountability records for funds control using automated systems OR A master`s or equivalent graduate degree; OR 2 full years of progressively higher-level graduate education leading to such a degree; OR A combination of post-high school education and experience that together meet the qualification requirements for this position. For the GS-11, you qualify for this position if you have one year of specialized experience equivalent to at least the GS-09 level in the Federal Service. For this position, specialized experience is defined as providing administrative duties for the operation of a central office such as financial oversight, tracking and overseeing budgets including the reconciliation of obligations and expenditures, maintaining accountability records for funds control using automated systems; performing administrative work, communications (written and verbal) logistics support, and acting as the safety liaison OR Possess a Ph.D. or equivalent doctoral degree; OR Possess 3 full years of progressively higher-level graduate education leading to such a degree; OR A combination of post-high school education and experience that together meet the qualification requirements for this position. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience.
