Smithsonian Institution Management Support Specialist in New York, New York

Summary The Smithsonian Institution is the world’s largest museum, education, and research complex, with 21 museums and the National Zoo. This position is located in the Operations Division of the Cooper Hewitt, Smithsonian Design Museum. Located on New York City's Museum Mile, in the historic Carnegie Mansion and Garden, Cooper Hewitt is the only museum in the United States devoted exclusively to historic and contemporary design. Responsibilities The purpose of the Management Support Specialist is three-fold: (a) assist the Head of Operations in maintaining the day-to-day administration of the Museum and the Director’s office, (b) perform administrative duties to support museum staff in purchasing, travel, payroll, etc., and (c) serve as the Safety Specialist. In this position, you will: Participate in the planning and coordination of administrative and procedural functions of the museum. Serve as the department purchase card holder, ensuring that obligations and expenditures are in accordance with budget plans and Smithsonian Institution purchasing and accounting procedures. Serve as the museum’s principal agent for business travel, handling all arrangements (including short/long term, international, individual/group, and emergency) for museum staff, including senior managers and the Director of the museum. Manage the occupational health program, advising staff on accident and fire prevention, the hazardous materials program (including waste removal), the radiation safety program, asbestos monitoring, respiratory programs, and other related programs. Qualifications Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-07 level in the Federal Service. For this position, specialized experience is defined as compiling and completing purchase documentation, researching organizational policies for procurement methods, using web-based tools to prepare travel reimbursement vouchers, and preparing payroll actions and maintenance requests. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Or Education: master's or equivalent graduate degree in a related field or 2 full years of progressively higher-level graduate education leading to such a degree or LL.B. or J.D., if directly related to the work of the position.
