Big Canyon Country Club Project Administrator in Newport Beach, California

Project Administrator

The Project Administrator will work with the Facilities Director, Finance Director, and General Manager to provide administrative support for all facets of the club. This position requires attention to detail, follow through, and the ability to multitask and prioritize needs while maintaining composure, focus, and productivity. This is a full-time Monday through Friday position with hours ranging from morning to afternoon. Specific hours to be discussed during interview.

Duties & Responsibilities

  • Responsible for tracking all capital projects and purchases, including but not limited to the $20M Golf Course Project

  • Twice a month preparation of a month to date capital report

  • Analyzes financial information, monitors budgeted versus actual expenditures, and advises to help assure that budget goals are met

  • Attends bi-weekly Capital meeting and other meetings as required

  • Submit and reconcile bi-monthly ledgers including job costing

  • Organize and schedule appointments, including the PM Maintenance and inspection schedule

  • Maintain the BCCC filing system and the BCCC asset management program

  • Assist in preparation of regularly scheduled reports

  • Complete administrative tasks such as answering and directing phone calls, planning meetings, and taking detailed minutes

  • Liaise with Members and Senior management to handle requests and queries

  • Additional Duties as assigned by Supervisor or Manager

Qualifications

Skills & Qualifications

  • Bachelor’s degree or 2 years of recent administrative experience in the role as an Administrative Assistant or Office Administrative Assistant

  • Attention to detail and problem-solving skills

  • Proficient knowledge in Microsoft Office suite (i.e. Word, Excel, Power Point)

  • Excellent verbal and written communication skills

  • Excellent time management skills and the ability to prioritize workflow

  • Ability to work in a fast-paced office environment with prolonged periods of data entry and communication both anecdotally as well as electronically

  • The ability to have regular attendance is a must

  • Possess a professional and courteous demeanor when interacting with all departments and members
