POSITION TITLE: Administrative Data Coordinator

DEPARTMENT: Administration

REPORTS TO: Chief Operating Officer

POSITION SUMMARY: Provides support to the COO and organization performing financial, operational, and administrative tasks that are essential to be managed locally. Demonstrates competence in balancing cash drawers and following prescribed procedures. Flexible in adjusting to the daily needs of the organization.

QUALIFICATIONS: Must be able to be entrusted with confidential information and have strong computer skills, including data entry.

EDUCATION/EXPERIENCE: High School Diploma; Associate Degree in Accounting OR Experience in Bookkeeping.

ESSENTIAL JOB FUNCTIONS:

• Invoice coding and monitoring of accurate account posting.

• Prepares daily and/or monthly stats for Admin huddle and Admin Team meetings, respectively.

• Prepares bank deposits and coordinates pick up/delivery from bank courier

• Balancing of main petty cash drawer, cafeteria cash and recording of entries

• Supports the collection and reporting of miscellaneous stats (finance, quality, cost report, ancillary)

• Supports the collection of data needed for regulatory and association reporting (Databank, AHA, etc)

Formulates reports from databanks (Ex: Market Share data from IHA Dimensions) to support administrative operations.

• Meter and post outgoing mail; sorts incoming mail

• Supports local accounts payable tasks (credit applications, misc. invoices, past due inquiries, prepare check requests)

• Collates miscellaneous AR information to send to System Office DM

• Work includes cross coverage in other areas of the hospital, as needed (Ex: phone switchboard management; assists patient account needs for misc. tasks to include back up coverage for registration as assigned; etc.)

• Participates in performance improvement projects and activities as needed.

• Participates in other miscellaneous office duties/projects as assigned.
