City Wide Facility Solutions Administrative Coordinator - Norfolk, VA in Norfolk, Virginia

Essential functions

Includes the direction completion of, or oversight and management of, the following essential functions, as well as other responsibilities as may be assigned:

Internal Operations Support Responsibilities:

· ACT (growth chart) coordination

· Loyalty Loop administration

· Information Management (Sharefile organization and maintenance)

· CW license management

· Monthly commission calculations and payroll input support

HR & Admin Responsibilities:

· Employee handbook maintenance

· Employee policy documentation maintenance

· Employee folder maintenance/audit (hard copy and digital)

· Employee offer letters and comp agreement generation

· Employee training coordination

· Employee onboarding - IT set up w CWF

· Employee onboarding - IT equipment set up

· Employee onboarding - employment paperwork

· Employee onboarding - employee background checks

· Employee onboarding - employee Week 1 Agenda

· Employment termination – documentation

· Hiring assessments administration

· IT equipment maintenance and management

· Birthday, anniversary calendar maintenance

· Department of Labor / Department of Commerce liaison (unemployment claims; labor relations)

· Job description creation and maintenance

· Benefit programs analysis and administration

· Staff position recruitment (thru various platforms)

· Maintain org chart

· CWF Training / City Wide YOU participation

Office Administration:

· Team meetings and team building events coordination

· Office equipment maintenance (audio-visual, furniture, copiers, phone system, etc)

· Office store stocking/reordering and billing – supplies and uniforms

· Office supplies

· Office services (janitorial services, facility maintenance)

· Relocation coordination

· Lease/landlord relationship management

· Start / Stop utilities

· Company vehicles (maintenance, lease compliance, mileage audit, etc)

· Commissary supplies coordination (snack food and supplies for employees)

· Office visuals strategy (posters, TV graphics, etc to support contests, culture/values, branding, etc)

· Coordinate customer appreciation program (holiday cards, etc)

· Coordinate charity program

· Coordinate referral programs (employees)

· Coordinate market level awards and employee appreciation programs

Sales & Marketing Support:

· Marketing materials management

· Social media / PR inputs

Measurements (Year)

This position is responsible for the following metrics:

· Metrics as may be developed and assigned relative to the responsibilities assigned.

Requirements

· 2-5 plus year’s work experience in a growing, multi-departmental business.

· Bachelors degree desirable.

· SHRM credentials, or willingness to attain them, highly desirable.

· Highly detail oriented and excellent follow-through on commitments.

· Positive and out-going personality; great at building relationships.

· Excellent verbal and strong written communication skills.

· Proficient in Microsoft Office and knowledge of CRM database.

· Must have reliable transportation.
