Robert Half Administrative Coordinator in North Charleston, South Carolina

Description

We are offering a contract to hire employment opportunity for an Administrative Assistant in a Non-Profit organization based in North Charleston, South Carolina. You will be involved in providing administrative support, maintaining donor records, coordinating meetings, and handling direct mail production.

Responsibilities

• Provide administrative support to the team, including scheduling meetings and coordinating logistics.

• Maintain up-to-date and accurate records of all donors in the organization's database.

• Handle receipt, entry, and acknowledgement of gifts, ensuring accurate data entry and timely mailing of acknowledgement letters.

• Serve as a liaison with the finance division to ensure adherence to protocols and procedures.

• Prepare accurate mailing lists for direct mail campaigns and ensure mailings are dispatched promptly.

• Coordinate and handle logistics for departmental and campaign cabinet meetings, including scheduling rooms, preparing visuals and handouts, and recording minutes.

• Provide relief for Administrative Services Associate as scheduled.

• Monitor and maintain inventory and supplies for resource development, placing orders as necessary.

• Oversee stock transactions from time of transfer to receipt of check and stock receipt.

• Utilize Microsoft Office Suites to prepare materials for individual giving staff and others as needed.

Requirements • Experience in gift processing and managing daily receipts

• Proficiency in handling direct mail and direct mail campaigns

• Ability to conduct, coordinate and document meetings, including department, committee, executive, and in-person meetings

• Proficient in Microsoft Office Suites, particularly in using Mail Merge

• Experience in distributing meeting minutes and maintaining records

• Demonstrated skills in administrative tasks, organization, and coordination

• Excellent communication and interpersonal skills

• Ability to work independently and collaboratively within a team

• Strong attention to detail and accuracy in work

• Prior experience in a non-profit organization is desirable but not necessary

• Ability to handle confidential information with discretion

• Demonstrated ability to manage multiple tasks and meet deadlines

• Strong problem-solving skills and the ability to make decisions under pressure
