Position Purpose Under the direction of the Chief Administrative Officer (CAO), provide confidential administrative support to Facilities Services. Nature and Scope Provide confidential administrative support to the CAO in developing and managing the CAO's administrative needs, including typing and/or formatting budget requests, monitoring, and approving expenditures, records management, presentation and report preparation, meeting notes (SLUG, department meetings, etc.) coordinating office operations, public relations, and research, and coordinating staff documentation and team building activities. The Facilities Services Office is comprised of several units, including Health and Safety, Project Management, Space Management, Mechanical, Electrical and HVAC, Construction and Grounds, and Building Services. The COA also has responsibility for the Police Services and Computing and Communication departments. Essential Functions Provide office management and confidential executive secretarial support to the CAO, including make travel arrangements, coordinate meeting arrangements, screen, prioritize and distribute mail, process and maintain confidential and sensitive materials, maintain CAO's calendar, take minutes at designated meetings, answer CAO's phone, take messages, resolve issues or route calls when appropriate, and manage Facilities Services conference room. Compose and draft reports, documents, questionnaires, and correspondence for the CAO and unit as assigned, including submission of the College's biennial capital budget request, capital project expenditure forms, etc. Maintain confidential employee records of all managers and staff and initiate appropriate personnel documents/forms. Monitor staff performance evaluation status and inform supervisors of upcoming performance evaluation due dates. Develop orientation materials for new employees. Develop, maintain, and update the department website, ensuring information for all units is current. Coordinate reports, surveys, correspondence, signatures, and other documents, ensuring that the appropriate staff person has reviewed the document and that it goes out under the correct signature. Develop and maintain assigned computerized and manual departmental records and filing systems, including organizational charts and inventories. Serve as liaison between supervisor and other staff members, transmitting assignments and requesting status information, and with the campus community and the public by intercepting, troubleshooting, and solving problems.
