GENERAL DESCRIPTION OF POSITION

The primary focus of this position is to oversee and evaluate communications coming into the Project Intake Team for appropriate disposition, distribution and processing. This includes review of incoming communications from clients, both internal and external, evaluation for proper processing and workflow, and categorization and distribution as appropriate. Various processes include, but are not limited to, distributing electronic files, researching background in client information program, entering data into multiple databases, including adding appropriate metadata, and setting up jobs per the workflow chosen.

ESSENTIAL RESPONSIBILITIES OR TASKS PERFORMED

  • Monitor multiple Outlook mailboxes and review incoming communications accordingly

  • Evaluate and determine appropriate paths for processing of communications

  • Apply decision-making processes for all communications based on experience, expertise and understanding of jobs, clients, systems and tracking requirements

  • Research, review and troubleshoot incomplete/incorrect/inaccurate requests for appropriate resolution and processing, including consulting with the requestor, where possible, to determine intent and desired outcome

  • Problem-solve nonstandard or unusual requests for appropriate path and processing

  • Manage complex scenarios

  • Work with sales, customer service and clients, where appropriate, to clarify job requirements

  • Represent the Project Intake Team on special projects that impact intake and job setup

  • Proactively drive improvements that will enhance the client experience

  • Train new Project Intake team members

  • Document and maintain all processes

  • Suggest, coordinate and collaborate to implement process changes and tool improvements

  • Acknowledge and archive paper and electronic materials received, including applying proper metadata so that appropriate reports may be generated

  • Set up jobs in system by using various databases to get information on all requirements of the job

  • Prepare electronic job folders, compile project materials and copy any electronic files from client to those folders

  • Sort, organize and evaluate list of monthly scheduled jobs for processing and job setup

  • Create appropriate electronic documents needed when setting up jobs

  • Identify and sort Code from non-Code legislation and identify missing legislation

Required Experience:

QUALIFICATIONS AND KEY COMPETENCIES

  • Good overall working knowledge of MS Office applications, including file management through Windows Explorer

  • Ability to research, understand connections between systems and make decisions on final disposition of requests

  • Ability to effectively communicate with external clients for further clarification and understanding of requests

  • Ability to recognize unusual scenarios and work through resolution with internal clients

  • Sense of urgency based on fast-paced environment

  • Demonstrated ability to proactively initiate process improvements and efficiencies through technology
