Title: Senior Administrative Assistant for Education

Description: Under the supervision of the Chair of the Department of Education, the Senior Administrative Assistant for Education is responsible for coordinating all student teaching, mini practicum, and field experience placements in area schools. The Sr. Admin. Asst. will also be responsible for creating and maintaining databases related to field experience and acting as a liaison between area schools and Hartwick College’s Teacher Education Program.  They are also responsible for the following: Creating and maintaining certification, placement and field experience databases for all education students.  Compiling and preparing spreadsheets and data banks for accreditation and reporting purposes. Establishing and maintaining relationships with area schools which includes public relations and marketing of the Education Department.  Coordinating and attending informational meetings, workshops and planning sessions for prospective and current education students.  Communicating with education students on behalf of the education department regarding such information as deadlines, conferences and field experience opportunities.

Responsibilities:

  • Developing placements, preparation of all correspondence and documentation, payment of honorariums to collaborating teachers and compilation of all evaluations and reports and maintaining and nurturing established partnerships.

  • Maintaining partnerships with area school personnel including meeting with superintendents, principals, collaborating teachers and program directors. Markets the Teacher Education Program in collaboration with appropriate departments such as the Office of Communications.

  • Creating and maintaining student databases; the information from these databases is compiled and analyzed by the Coordinator of Student Teaching and Field Experience for use in internal and external reports.

  • Serves as the Teacher Education Program Certification Officer for students applying for teacher certification.  This duty includes the dissemination of certification requirements, New York State Teacher Certification Examination information, institutional recommendations and student fingerprinting.

  • Teaching certification: distribute testing requirements and related information, certification process information, institutional recommendations, individual fact sheet information and distribution, and is the Certification Officer for Education Department

  • Department databases: creation and maintenance of department databases for certification, testing scores and statistics, placement opportunities, field experience hours, field experience placements, and field experience positions for all education students

  • Statistical reports: compilation of statistics and information necessary for completion of reports for external accreditation authority and other reporting agencies. Analysis of statistics and assistance in report preparation.

  • Supervision of work-study students in the Education Department.

  • Serves as secretarial and administrative support to departmental faculty which includes taking and maintaining department meeting minutes and managing office supplies.

  • Comply with all applicable College, Federal, State, local and associational laws, rules and regulations. 

  • As a representative of the College, expected to comport oneself in a professional manner at all times, both on and off campus.

  • Participate in significant campus activities, including Welcome Weekend, True Blue Weekend, and Commencement Weekend.

Qualifications: Minimum requirements for this position are a Bachelor’s or Associate’s degree and experience working in administrative capacity interfacing with the public. Public school experience preferred.   Clean driving record and a valid drivers’ license.

  • Demonstrated knowledge of Windows-based computer software (Word, Excel, Office, etc.)

  • Demonstrated knowledge of Google Office Suite (Google Drive, Google Docs, etc.)

  • Ability to maintain organized records

  • Experience working in or with public schools will be helpful

  • Excellent interpersonal skills

  • High level of attention to detail

  • Excellent verbal and written communication skills

  • Positive disposition when working with students, faculty and public-school employees

  • Ability to create and maintain positive relationships with all internal and external partners

Salary range: $17.00 - $22.00
