Position Announcement

 

Utah Valley University is looking for an Administrative Assistant! This role involves managing first contact services for Student Health Services, courteously and promptly welcoming students, staff, and the public. Responsibilities include coordinating patient care, handling crisis and priority scheduling, and performing secretarial duties for five areas within SHS. Additionally, the role involves operating billing systems, managing accounts receivable, and maintaining records.

 

Summary of Responsibilities

 

• Handles first contact greetings with students, staff, and the public; answers phones and responds to voicemail in a courteous manner; estimates the needs of the patient and determines priority for medical care or counseling emergencies; and consults with Crisis Services to coordinate immediate patient care. Schedules appointments, informs students, employees and outside agencies of services and programs offered, and directs to other resources on campus.

• Operates billing system; applies charges, payments and adjustments to patient accounts; counts and logs money daily according to opening and closing procedures; and balances funds with daily report. Applies and removes holds on student accounts as needed, resolves account disputes.

• Coordinates the flow of the front office and ensures tasks and situations are handled correctly, efficiently, and professionally. Resolves conflict and handles problem-solving resolutions. Monitors quality control and service issues while maintaining SHS policies and procedures.

• Prepares and organizes patient charts; pulls and files charts daily; and maintains an understanding of and complies with HIPAA regulations and state laws regarding tuberculosis testing.

• Performs other duties as assigned.

 

Minimum Qualifications

 

Graduation from an accredited institution with an associate's degree and one year of experience or any combination of education and experience related to the summary of duties totaling three years.

Knowledge

 

• Knowledge of computer software and software applications.

• Knowledge of HIPAA regulations and applications.

• Knowledge of medical and mental health clinic practices.

 

Skills

 

• Skills in office methods, techniques, practices and procedures.

• Skills in determining level of patient care.

• Skills in effective communication.

• Effective interpersonal, problem-solving and public relation skills.

 

Abilities

 

• Ability to perform a variety of secretarial duties with minimum supervision.

• Ability to follow oral and written practices and procedures.

• Ability to meet and work professionally with the public.

• Ability to balance and deposit funds.
