Job Summary: The Medical Receptionist will serve as the first point of contact for patients, managing both the front desk operations and providing essential administrative support. The ideal candidate will possess excellent communication skills, a friendly demeanor, and a passion for delivering excellent patient care in a mental health setting.
Key Responsibilities:
Front Desk Management: Greet and welcome patients and visitors in a warm and professional manner. Answer and direct phone calls, taking messages and providing information as needed. Schedule and confirm patient appointments using our management software. Maintain a clean and organized reception area to ensure a calm and welcoming environment.
Patient Coordination: Verify patient information and update medical records as necessary. Assist in the completion of registration forms and other documentation. Collect and process co-pays, fees, and insurance billing information. Facilitate communication between patients and clinical staff.
Administrative Support: Maintain confidentiality and security of patient information in accordance with HIPAA regulations. Assist with filing, data entry, and other administrative tasks as assigned. Coordinate with clinical staff to ensure smooth operation of the clinic. Monitor and order office supplies, maintaining inventory as needed.
Insurance and Billing: Verify insurance coverage and assist patients with insurance-related inquiries. Enter and update patient billing information accurately.
Qualifications: High school diploma or equivalent; additional certification in office administration or related field is a plus. Previous experience as a medical receptionist or in a similar administrative role is preferred. Proficiency with office management software, particularly patient scheduling and electronic medical records. Basic understanding of medical terminology, insurance processes, and billing. Exceptional interpersonal and communication skills, both verbal and written. Strong organizational skills and attention to detail. Ability to handle multi-line phone systems and manage multiple tasks efficiently. Compassionate and patient-focused with a commitment to confidentiality and integrity.
Working Conditions: Primarily works in a professional office environment. Minimal physical effort is required; the role may involve long periods of sitting or standing.
