St. Johns River Water Management District Senior Administrative Assistant in Palatka, Florida

*Senior Administrative Assistant *Division of Water Resources and the Division Basin Management and Modeling

**Job Summary: This is advanced independent work providing comprehensive administrative support for the Division of Water Resources and the Division of Basin Management and Modeling.

Job duties include:

  • Helps coordinate Divisions generation, editing and reviews of Governing Board items through all parties. Maintains monthly Governing Board SharePoint sites and archives old materials.
  • Manages the Divisions annual learning and development plan, coordinates staff participation in associated events, and updates plan and budget. Helps coordinate reviews of external abstracts and presentations. Helps orient new staff to District and Divisions processes.
  • Screens incoming mail and forwards to appropriate staff or offices; helps schedule follow-up on work in progress to ensure timely reply or action; maintains electronic files of office correspondence, documents, reports, and other information; retrieves information from electronic files as needed.
  • Receives public calls and online forms for the well abandonment program. Continues development of information management systems to streamline screening of new wells needing abandonment.
  • Provides administrative support for Divisions. Learns roles of other administrative staff and provides support to these positions as needed. Helps plan and conduct offsite meetings.
  • Coordinates and tracks action items from Executive office and other divisions.
  • Serves as the procurement consolidation point for office supplies for the Divisions. Tracks budget and account information. Submits contract and procurement items through the Contract Information System. Coordinates with Divisions, Budget and Procurement staff to assist with procurement requests. Collects, inputs, verified and reconciles p-card transactions for Divisions staff. Coordinates travel arrangements and processes electronic travel forms.
  • Manages Divisions SharePoint sites within updated document retention guidance. Expands use of new Microsoft tools to populate and manage databases and process various requests.

Minimum Qualifications: A high school diploma or GED, and 5 years of progressively responsible administrative assistant experience; or formal education may substitute for work experience.

[]{#pagetotalmaster0}[]{#page_total}Skilled In: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint) for document development, collaboration and sharing, managing calendars and arranging and conducting meetings. Use of networking tools such as Teams, SharePoint, OneNote, OneDrive for file sharing, creation and editing. Skilled in the use of Microsoft data tools is beneficial to create and document work flowcharts. Use of office electronics, including computers, copiers, scanners, projectors.
