GKN Aerospace Executive Assistant in Papendrecht, Netherlands

Are you our new Executive Assistant?

We are looking for an experienced Executive Assistant (EA) to work with the President of Civil Aerospace in Papendrecht. The EA will report into the Chief of Staff for the Civil Business Line, whilst working closely with the President. As an Executive Assistant, you will have an important role in supporting the President and their Leadership Team with daily activities along with projects, events and working with both internal and external stakeholders. The agenda of the President can be complex so we are looking for someone who can deal with managing multiple priorities, working with short deadlines and someone who performs at the highest level under pressure. Because of the flexibility and on-going changes of conflicting priorities and challenges of the president, a high level of flexibility by the successful candidate is required.

Job Responsibilities

  • Be the first point of contact for the President

  • Managing the President’s agenda using your own initiative and making decisions on priorities

  • Working with the Chief of Staff on business reviews, updates in communications and projects that involve the President

  • Scheduling and preparing meetings, discussions and appointments. You will also facilitate the President and team, such as setting the agenda, inviting meeting members, catering, reserving meeting space and necessary equipment (this also includes monitoring the completion of action items)

  • Organising business trips, preparing travel schedules, booking hotel, making arrangements with GKN companies and agencies to be visited, arranging transportation, etc.

  • Drafting and handling internal and external mail correspondence; independently or following guidelines in English and Dutch;(Internal) communication, including editing and language technical correction of documents and presentations;

  • Support with invoices, declarations and payments;

  • Various administrative tasks, such as filing, time registration, etc.

Job Qualifications

We are looking for a candidate who is available for a fulltime position. You have experience with administrative and organisational procedures. Other important characteristics are:

  • Working independently and proactively; able to assess what has priority and propose solutions;

  • Communicative skills, a well-developed organizational sensitivity and used to working with colleagues at all levels in the organization

  • Flexible; dealing with pressure, changing schedules and ad hoc changes of plans

  • Strong in planning and coordination

  • Strong personality who can act well in a busy environment

  • Excellent command of Microsoft Office; especially MS Outlook, MS Word and MS PowerPoint

  • A good level of understanding and writing of English and Dutch is necessary

  • Able to work in the office fulltime

  • Willing to travel every now and then
