Job Description Summary

The Facility Manager is responsible for the daily operations and maintenance of a mid-size facility, driving exceptional regulatory and quality assurance, optimizing services for the protection of people and assets, and maintaining a world-class building for customers and employees.

Job Description

Key responsibilities include, but are not limited to:

Facility Projects:

  • Managing facilities projects for cost, schedule, safety and quality, including planning, scheduling, forecasting, and balancing department workload.

  • Managing all building maintenance, repair, renovations, demolitions, additions, and new construction.

  • Oversees proactive maintenance of mechanical, electrical, and plumbing systems and facilities equipment such as fire protection, elevators, water, and compressed air.

  • Oversees maintenance of outside grounds, including snow removal, landscaping, sprinkler systems, outside lights, driveways, and parking lot.

  • Maintaining and generating procedures for preventative maintenance and work tasks ensuring consistent operating procedures and policies for the facility. On time completion of all PMs and compliance calendar tasks. Track facility related EHS concerns to completion.

  • Work with real estate management company. Review specifications for soliciting contracted services and project work. Prioritize, initiate, and supervise all maintenance work (repairs, upgrades, preventive maintenance), ensuring it is completed correctly and professionally and minimizes downtime. Work with suppliers to reduce carbon emissions.

  • Knowledge of GEHC Purchasing Controls Procedures and operates within them to ensure that all purchased services conform to specified requirements.

  • Knowledge of GE Corporate Real Estate Procedures & Policies and operate within them to ensure compliance.

  • Knowledge and understanding of GEHC Work Instructions relevant to facilities design, repair, and maintenance and operates within them to ensure conformance to the specified requirements.

  • Perform hands on repairs and basic tasks such as painting, install and troubleshoot whiteboards/monitors and projectors, minor plumbing.

  • Identify recurring issues and implement action plans to address.

  • Serve as the point of contact for federal, state, and local inspections and audits, including water testing.

  • Conduct inspections with local fire department and insurance company.

  • Responsible for various permits and licenses used in the facility.

  • Respond to employee and customer inquiries and requests and resolve any problems or issues.

  • Optimize the use of space and resources to accommodate HCI’s evolving needs and promote sustainability initiatives.

  • Conduct regular building and grounds inspections to identify and address all maintenance needs.

  • Manage facility warranty programs.

  • Responsible for facility fixed assets.

Budgeting and Estimating Cost:

  • Assists in the management of facility budget, including creation and monitoring of budget, forecasting expenses, and tracking expenditures.

  • Identifying cost savings opportunities, including energy cost reductions.

Safety and Compliance:

  • Ensures compliance with relevant policies, regulations, codes, and standards governing facility management, including health and safety regulations, OSHA regulations, building codes and standards, and environmental requirements.

  • Manage and lead the following Environmental, Health & Safety (EHS) elements: Emergency Management & Spill Response, Contract Worker Safety, Work at Height, Powered Mobile Equipment, and Inspections, Preventive Maintenance, and Facility Management.

  • Leads Management of Change (MOC) process for facility activities and supports MOC process for other changes, such as installation or deinstallation of medical equipment.

  • Serving as local Crisis Management Leader (Incident Command) and Security Leader. Once crisis is contained, assist with recovery to normal operations.

  • Works closely with EHS manager and serves as a member of other EHS teams.

  • Handles any written violations for regulation infringement. Responds and appropriately resolves any violations.

  • Reporting on maintenance accomplishments in the areas of safety corrective actions and improvements, PM’s, repair work orders, and improvement projects.

Personnel:

  • Ability to lead/supervise others.

  • Manage and direct security staff and activities.

  • Manage on-site IT staff.

  • Serves as a liaison between Operations, internal teams and individuals, suppliers, and other stakeholders to address concerns, resolve conflicts, and facilitate collaboration on facility related matters.

Qualifications:

  • Bachelor’s degree in property management, facility management, engineering, or a related field. Or a minimum of three years of facility maintenance or management experience (HVAC, plumbing, carpentry, general maintenance) and Capex execution.

  • Broad understanding of facilities, construction, finance, and vendor management.

  • Familiarity with building regulatory codes and standards

  • Familiarity with construction processes and trades

  • Trained or willing to be trained in use of pallet jack, electric pallet jack, and forklift.

  • Responding to maintenance emergencies 24/7/365 as needed

  • Demonstrated dedication to process safety, worker safety, and environmental stewardship.

  • Demonstrated ability to prioritize tasks, manage multiple projects simultaneously, and adapt to changing priorities.

  • Demonstrated ability to work independently and as a change agent in a fast-paced, highly fluid, and high-volume work environment.

  • Demonstrated ability to lead, acknowledge, develop, and implement strategies in a team environment.

  • Excellent organizational skills.

  • Exceptional communication and interpersonal skills for effective collaboration with stakeholders and conflict resolution.

  • Strong negotiation skills.

  • Strong critical thinking, problem solving, decision making, customer service, and observational skills.

  • Ability to interpret construction drawings / blueprints and instruction manuals.

  • Project management skills

  • Working knowledge of Excel, Word, Power Point, Box, facility management software

  • Perform other duties as required.

Desired Characteristics:

Previous facility experience in the medical industry.

Experience with lean management principles.

Experience using Gensuite.

Certified PMP.

Physical Requirements / Working Conditions / Environmental Hazards:

  • Physical requirements are those of medium work exerting 50 pounds of force occasionally, up to 20 pounds of force frequently, and/or up to 20 pounds of force constantly having to move objects.

  • Ability to lift or carry not more than 50 pounds. Ability to push or pull 50 pounds. Ability to kneel, crawl, climb, crouch, lift, stoop, reach, stand, walk, grasp, feel, talk, hear, see, and perform repetitive motions with or without reasonable accommodations. May be required to sit or stand for prolonged periods of time.

  • May be exposed to hazardous material or chemicals. Work outdoors in a variety of temperatures and environmental conditions, and exposure to heat/cold. Climb stairs and/or ladders to reach areas or perform duties along with working at high heights.
