Position Summary: The Administrative Assistant at WCEA will play a vital role in ensuring the efficient operation of the academy by providing administrative support, maintaining organizational systems, and assisting with daily operations. This individual will work closely with the management team, parents, and staff to uphold WCEAs mission and values.
Key Responsibilities: 1. Administrative Support ? Manage daily office operations, including answering phone calls, emails, and inquiries. ? Maintain accurate and organized records, including student files, attendance, and billing. ? Prepare correspondence, reports, and documents as needed. ? Assist with scheduling meetings, appointments, and events. 2. Parent and Staff Communication ? Serve as the first point of contact for parents, guardians, and visitors. ? Provide clear and professional communication regarding academy policies, events, and updates. ? Coordinate staff schedules and communicate any changes or updates effectively. 3. Operational Support ? Support enrollment processes by providing necessary paperwork and maintaining an updated waitlist. ? Manage supply inventory and place orders for classroom and office needs. ? Ensure compliance with licensing and regulatory requirements by assisting with documentation and record-keeping. 4. Technology and Systems ? Utilize office software to manage records, create reports, and maintain databases. ? Troubleshoot minor technical issues and liaise with technical support when necessary. 5. Collaboration and Teamwork ? Work collaboratively with the Director and staff to support WCEAs vision and goals. ? Assist with planning and coordination of special events, including fundraisers and Community Day. ? Provide backup support in classrooms or other areas as needed.
Qualifications: Required Skills and Experience: ? High school diploma or equivalent; an associate degree in business administration or related field is preferred. ? Proven experience in an administrative role, preferably in an educational or childcare setting. ? Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. ? Strong organizational and time-management skills. ? Excellent verbal and written communication skills. ? Ability to maintain confidentiality and handle sensitive information. ? Friendly and professional demeanor with a commitment to exceptional customer service.
Preferred Skills: ? Knowledge of early childhood education programs and licensing requirements. ? Experience with billing and financial record-keeping. ? Familiarity with faith-based organizational environments.
Work Environment and Physical Requirements: ? Work primarily in an office setting with occasional visits to classrooms or other academy areas. ? Ability to lift up to 25 pounds and perform basic office tasks, such as filing and data entry. ? Flexibility to work occasional evenings or weekends for special events.
