Reference #: 9303802 PRIMARY FUNCTION:

The position of Research Administration Center of Excellence (RACE) Administrative Assistant will be responsible for working with assigned departments as well as their RACE Associate Director to perform clerical activities. The position will perform support functions for RACE Grants Administrators, RACE Associate Directors, and the RACE Director to ensure the delivery of excellent customer service. The Admininistrative Assistant will be provided an individualized opportunity to develop a career path while receiving exposure to and training in various aspects of research administration, specifically: gathering Pcard documentation, approving Ascent orders up to $5k (not including subawards, PSArsquo;s and equipment, reviewing travel reimbursement reports, position controls, lab expense charges (e.g., Fisher and Life tech), invoice tracking (e.g., PSA and subawards), running queries and financial reports, filing, and other duties as assigned by the Associate Director of assigned team.

The Administrative Assistant is an entry-level position to a research administration area that requires limited background but incites ongoing interest in the field of research administration. This is a full-time position that will strive to meet the research needs of the center while reporting to the Associate Director, Post-Award of the assigned team. Operational tasks, including : Provide administrative support to the entire RACE team, including scheduling meetings, filing, and maintaining the organization of documents. Assist RACE staff with gathering required documentation to support the approval of certain expenses. Tracking position controls and invoices for subawards and Purchased Services Agreements (PSAs). Creating and editing documents, spreadsheets, and presentations.

OTHER FUNCTIONS AND COMPETENCIES needed in addition to Essential Functions: Ability to work independently in a team environment, be flexible and accountable, prioritize tasks, while having a way with people. Ability to establish and maintain effective working relationships with Research Administrators, Associate Directors, the RACE Director, and a variety of other constituents within and outside the Offices of Research Support Services. Ability to multi-task and steward simultaneous projects with vying priorities and within established timeframes. Demonstrate excellent oral and written communication skills with experience in communicating with a broad range of audiences through various mediums.

EDUCATIONAL/TRAINING REQUIREMENTS:Associatersquo;s degree in General Studies, Business, Finance or Healthcare Administration, ore related field required. Bachelorrsquo;s degree preferred.EXPERIENCE REQUIREMENTS: Previous experience in an academic healthcare area preferred.
