Overview
The Senior Associate, Regulatory Promotional Operations is a project-level lead responsible for independently preparing and delivering submission packages for promotional materials to be reviewed through the client Medical, Legal, Regulatory (MLR) process. This role requires maintaining a strong working knowledge of client-specific guidelines and requirements for submission, as well as the tools utilized to manage the MLR process.
Key responsibilities include tracking each project through the MLR process, facilitating effective communication among cross-functional team members regarding project statuses, advising on submission timelines, and following up directly with internal stakeholders as needed.
Responsibilities
Independently prepare and deliver high-quality submission packages through taking screenshots, organizing materials to output a compliant submission PDF, and annotating pertinent information.
Ensuring compliance with client-specific guidelines and internal requirements.
Directly communicate in a clear and concise manner with internal stakeholders.
Route submission materials to internal team and implement revisions as needed.
Follow up with internal teams directly to communicate project status and timing expectations.
Link references in client system (Veeva Vault PromoMats) and and attach any ancillary documentation.
Retrieve MLR comments from client system and determine next steps in MLR process.
Comfortably balance multiple assignments simultaneously.
Determine the time and effort required to create various components of each submission. Work directly with internal teams to develop submission timelines.
Comfortably balance multiple projects simultaneously.
Assist in maintaining departmental archive.
Qualifications
Required
Bachelor’s degree in a relevant field and 1-2 years relevant experience.
Technical competency in Adobe Acrobat Pro DC and Microsoft Office Suite.
Exceptional communication skills.
Meticulous attention to detail.
Superior organizational skills and ability to effectively manage multiple tasks efficiently.
Preferred
Proficiency in Veeva Vault PromoMats.
Experience preparing complex submission deliverables under tight deadlines.
Proven experience working within cross-functional teams.
Strong technical writing skills, with the ability to produce clear and concise documentation.
Desirable
Experience in the pharmaceutical industry, healthcare, or a similar regulatory environment.
Agency and/or project management experience.
Working knowledge of Adobe InDesign and Photoshop.
