POSITION SUMMARY

The Administrative Assistant is instrumental in providing strong and organized administrative support, individually and as a team, ensuring the smooth operation of the Center Support Office (CSO). This position will assist with administrative support practices and help to create new systems or revise established procedures to foster a collaborative approach. This role will develop new processes or procedures relevant to the needs of the CSO. Qualifications

ESSENTIAL SKILLS AND EXPERIENCE:

  • BA/BS degree, preferred

  • High School Diploma or GED from an accredited institution

  • Minimum of 2 (two) or more years of full-time work experience, highlighting both administrative and analytical skill sets

  • Excellent verbal and written communication, and problem-solving skills

  • Self-starter with initiative, has a proactive approach, with a focus on collaboration, flexibility, and problem-solving

  • Valid Level One Fingerprint Clearance Card issued by the Arizona Department of Public Safety for all specialty behavioral health locations

    POSITION RESPONSIBILITIES

  • Manage the scheduling of internal and external meetings for the Board of Directors both on and off-site, including but not limited to setting up conference rooms, video calls, and managing internal resources (conference rooms, etc.)

  • Prepare correspondence for the Board of Directors and maintain files for all relevant documents including board packets

    General Administrative Support:

  • Prepare and review materials and correspondence for meetings; ensure the Executive Leadership Team is prepared

  • Research and compile material for meetings; develop agendas, take minutes, and schedules

  • Assist with the creation/modification of presentations, spreadsheets, and other various documents

  • Coordinate catering for on- and off-site meetings and events

  • Perform special projects upon request

  • Assist in administrative needs for the Board of Directors

  • Prepare correspondence for the Board of Directors and maintains files for all relevant documents

  • Assist in preparation of board meetings, maintenance of board packets, and all board correspondence

  • OnBoard Management (Build Board and Committee Books, create OnBoard Calendar invites)

  • File and retrieve corporate documents, records, and reports

  • Ensure confidentiality and security of all information

    NONESSENTIAL SKILLS AND EXPERIENCE:

  • Previous experience in an administrative role within a community health setting

    Work environment: While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time when traveling to various clinic sites. The noise level in the work environment is usually moderate. The employee may be subject to health hazards (contagious diseases, blood borne pathogens, etc.) when working in the clinic area.
