As an Administrative Assistant, you will be work on a construction team based in our Phoenix office and provide support to one or more project managers and/or project team(s). This person acts as the key contact for our project team, clients, vendors, and subcontractors.

What you’ll be doing:
You will provide administrative support to our cost control and Arizona project team. You will be responsible for data entry, maintaining filing systems, allocating project funding, billing and invoicing, some cost analysis, and managing a project email inbox. You will ensure accurate and thorough documentation and reporting regarding our construction projects working in tandem with project managers on pre-billing information review, cost estimates, and invoicing.
Administrative Assistants at Harder perform the following daily tasks:
Supports the project team with data entry including but not limited to the following:
Funding entry
Estimate entry
Work order entry
Issues and distributes invoices
Coordinates with other departments to ensure billing and invoicing accuracy
Addresses customer complaints and questions
Keeps track of accounts receivable and transactions
Tracks employee timecards and report hours
Works with the cost controls team on cost analysis, project reporting, cost transfer requests, and project funding allocations
Manage project inbox and forward information as needed
Additional tasks as needed by the onsite project team
What you will need to be successful in this role:
Proficient in use of Microsoft Office suite; familiarity with databases and SQL is an asset
Advanced Excel skills including experience with pivot tables, formulas, and data manipulation
Ability to communicate with a broad spectrum of people including suppliers, field crews, designers, and owners
Organized and productive
Strong time management skills and ability to prioritize tasks on an ongoing basis
Ability to work independently and meet tight deadlines
Collaborative team player
Interest in long-term stability
Education/Experience:
2-3 years of experience in administration supporting teams in a high-paced environment
Accounting experience preferred
Experience in a construction environment or similar industrial setting preferred
High School diploma required
