The Contracts and Grants Department at RAND is seeking a detail-oriented and proactive Administrative Assistant to support the department and its director. This role is pivotal in ensuring the efficient operation of our department, providing essential administrative support, and facilitating communication within and outside of the organization.

Responsibilities include, but are not limited to the following:

Provide comprehensive administrative support to the Contracts and Grants Department and the director.

Facilitate communication between the department and other organizational units, as well as with external partners.

Manage calendars, schedule meetings, and coordinate travel arrangements for the director and department staff.

Scheduling/planning meetings, conferences, and interview schedules.

Assist in the preparation, formatting, and distribution of contracts, grants, and related documents.

Maintain and update departmental databases, ensuring accuracy and confidentiality.

Organize departmental meetings, workshops, and events, including logistics and materials preparation.

Prepare regular reports as requested by the director, summarizing departmental activities and outcomes.

Qualifications:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Project), Adobe, and required. Proficiency in Vision preferred.

Excellent written and verbal communication skills required.

Strong organizational and multitasking abilities required.

Attention to detail and problem-solving skills required.

Ability to work independently and as part of a team required.

High level of integrity and professionalism required.

Adaptability and willingness to learn new processes required.

Experience:

2 years minimum experience; 3 to 5 years preferred

Education Requirements:

Minimum: High School; Preferred: BS/BA

Salary Range: $50,900 - $72,300
