Fort Pitt Capital Group, LLC Billing Specialist – Pittsburgh, PA in Pittsburgh, Pennsylvania

Fort Pitt Capital Group – an independent Registered Investment Advisor (RIA) – is currently seeking a Billing Specialist to join our Operations team.  The primary focus of this role is to ensure the accurate and timely calculation and invoicing of payments due to the firm. The successful candidate will be responsible for the maintenance, execution, and reconciliation of the firm’s client billing processes. Familiarity with billing methodologies, best practices, and software used within Registered Investment Advisors or similar financial institutions is essential.

Key Responsibilities

  • Billing Execution : Calculate and execute the firm’s quarterly and monthly billing processes using advanced Portfolio Management, Billing, and Reporting Software

  • Invoicing : Generate and send accurate invoices to the firm’s clients in a timely manner

  • Data Entry : Enter billing information accurately into the firm’s accounting and billing software

  • Issue Resolution : Address and resolve billing disputes and client queries with professionalism and efficiency

  • Refund Processing : Calculate and process client refunds as required

  • Reporting : Provide detailed reporting and invoicing for firm solicitors, and assist with audits related to referral networks

  • Approval Management : Oversee the advisor billing approval process, ensuring compliance with internal controls

  • Vendor Communication : Liaise with vendors and firm management to resolve billing discrepancies promptly

  • Reconciliation : Reconcile billing records with bank statements and other financial documents to ensure accuracy

  • Bonus Program Management : Calculate the firm’s sales bonus program and provide accurate reporting to the Finance and Management Teams

  • Financial Reporting : Produce financial reports for review by the firm’s Finance and Management Teams

  • Fee Estimates : Provide advisors with accurate fee estimates for potential and existing clients

  • System Maintenance : Maintain and update the firm’s fee and payout schedules in the Portfolio Management, Billing, and Reporting Software

  • Audit Collaboration : Work with the Back Office team to conduct regular audits and resolve billing and invoicing discrepancies

  • Documentation Standards : Develop, communicate, and enforce standards for the documentation and organization of electronic files and data deliverables in collaboration with Operations Department teammates

  • Compliance : Work with the Chief Compliance Officer (CCO) to ensure all billing processes comply with company policies and relevant regulations

  • Team Collaboration : Actively participate in team meetings, offering ideas and suggestions to enhance client satisfaction and operational efficiency

    Qualifications

  • Education :

  • Bachelor’s degree in Finance, Accounting, or a related field; equivalent work experience may be considered

  • Experience :

  • Minimum of 3 years of practical experience in billing, accounting, or a closely related financial role

  • Extensive experience within the financial services industry, with a strong focus on billing and invoicing processes, is preferred

  • Technical Skills :

  • Advanced proficiency in Microsoft Excel, including the use of complex formulas, pivot tables, and data analysis tools

  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook)

  • Hands-on experience with Orion Connect or similar Portfolio Management, Billing, and Reporting Software is highly desirable

  • Knowledge, Skills, & Abilities :

  • Exceptional accuracy and attention to detail in all billing and financial tasks

  • Solid understanding of billing methodologies, best practices, and invoice management processes

  • Proven ability to follow up on invoices and resolve billing issues promptly

  • Strong collaborative skills with the ability to work effectively within a team structure and across various departments

  • Excellent multitasking abilities with a talent for prioritizing and managing time efficiently

  • Demonstrated problem-solving skills with a track record of successfully resolving billing and financial discrepancies

  • Ability to work independently in a dynamic environment while maintaining a high level of precision and detail orientation

  • In-depth understanding of the financial services industry, particularly in billing practices and regulatory compliance, is preferred

  • Familiarity with the operational and service standards of a Registered Investment Advisor (RIA) is preferred

  • Knowledge of relevant laws and regulations, including those pertaining to billing, data protection, and SEC compliance, is preferred

    Position Details

  • Location : Green Tree, PA location (Foster Plaza)

  • Reporting To : Operations Manager

  • Schedule : Monday – Friday, 8:30 am – 5:00 pm

  • Occasional evening and weekend work may be required as job duties demand

  • Work Arrangement : After 6-months, 4 days in-office and 1 day remote

  • Employment Type : Full-Time (40 hours per week),

  • Travel : Little to no travel required

  • Compensatio n: Competitive base salary
