Position Overview:

We are seeking an experienced Full Time Executive Administrative Support Specialist who thrives in managing multiple projects and responsibilities with precision and initiative. The ideal candidate will excel in providing executive-level administrative support, demonstrating exceptional communication, organization, and problem-solving skills. This role requires the ability to work independently while maintaining a high level of accuracy and confidentiality.

Key Responsibilities:

  • Anticipate and fulfill the needs of executive and managerial staff, ensuring they have the necessary resources and support.

  • Act as the primary point of contact for internal and external communications, promptly and professionally handling inquiries and relaying messages.

  • Manage executive calendars, scheduling appointments, complex meetings, and travel arrangements.

  • Handle incoming emails, responding to inquiries and requests in a timely and professional manner.

  • Track deadlines for compliance and important tasks, ensuring timely submission of all necessary documentation and reports.

  • Encourage colleagues to meet deadlines and adhere to requests promptly.

  • Assist with various administrative tasks and projects as assigned, demonstrating strong decision-making and problem-solving skills.

  • Collaborate with members of the VP team leading department activities and events.

  • Demonstrate dedication to meeting the needs of internal and external stakeholders while maintaining respectful interactions.

  • Maintain confidentiality and discretion in handling sensitive information.

  • Proactively anticipate future needs and take initiative to address them.

  • Demonstrate resourcefulness in solving problems and handling unplanned or ambiguous circumstances.

  • Minimum of four (4) years' experience supporting executive-level personnel.

  • Demonstrated ability to handle unresolved situations, frequent changes, delays, or unexpected events while maintaining a calm disposition.
