Provides administrative support to a department or office location. Provides support for reception and guest services, mail services, phone, meeting rooms and location services.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Listening to customers, managing any requests or issues with genuine interest

  • Delivering a great customer experience, make sure you deliver consistently great service

  • Ensure visitors/calls are dealt with in a welcoming, courteous and professional manner, seeking to anticipate their needs where possible including Pharmacovigilance calls.

  • Ensure guests and visitors to site are greeted with a courteous friendly manner with informing their host promptly

  • Ensure image of front of house is maintained

  • Ordering of catering and conference rooms preparation upon request

  • Checking of meeting room on a daily basis, take away of used flip chart papers, cleaning up of white boards, assuring all equipment is on place, furniture set up, presentations and meeting materials preparation

  • Ordering of couriers

  • Employees access cards administration, printing labels for access cards, administration of chips for parking

  • Incoming mail distribution and registration, outcoming mail preparation

  • Communication with maintenance services, ticket registration

  • Creation of Purchase orders in SAP (PO revision, closing and receiving)

  • Office supplies distribution, ordering and keeping track of amounts

  • Pro active approach, promptly solving of problems, issues caused

  • Update of information provided in Reception Hand Book

  • Keep your line manager up to date with any problems and follow up where necessary

  • Direct reporting to line manager in cases of sick leave, vacation, time reporting etc.

  • Work within the requirements of the clients / CBRE Health & Safety Policy, ensuring that all non-conformances and opportunities for improvement are reported to the Facilities Management Team

  • Work with and support other members of the team

  • Follow all Health & Safety and Environmental requirements that are defined on work instructions or communicated in training

REQUIREMENTS

  • Secondary with school-leaving examination or University degree

  • English - Intermediate (B1)

  • Good customer service skills

  • Positive attitude and professional approach

  • Good interpersonal and communication skills

  • Solid organizational skills with attention to detail

  • Good level of PC and MS office skills

  • Good time management

  • Service orientated attitude combined with innovative thinking
