University of Maine System Administrative Specialist CL2- Marketing and Communications in Presque Isle, Maine

The University of Maine at Presque Isle is seeking to hire an Administrative Specialist (CL2) to work in and support the Marketing and Communications Office.

The Marketing and Communications Office handles all institutional marketing and communication efforts, facilitates the release of news to the media, oversees the University’s weekly news bulletin, On The Fly (https://www.umpi.edu/news/on-the-fly/) , maintains the University’s official social media pages, and coordinates media visits to campus. The office works to increase both the campus’s visibility and has an understanding of the work its faculty, staff, and students conduct in the community, the state, and beyond. Our goal is to share–in publications, on the web, through promotional efforts, and with local, state, and national media–this institution’s commitment to excellence in education and service to community.

This office also oversees the University’s visual identity as it is presented to the public through the materials we publish, the advertising we create, and the digital media we produce. This office is charged with presenting a consistent and professional image across all media and platforms.

The starting rate for this full-time, on-campus position is $18.22 for a new hire or the appropriate transfer rate for a current employee within the ACSUM collective bargaining unit. In addition, the University will contribute up to a 4% matching contribution to the UMS retirement plan. Additional benefits include medical, dental, vision, and tuition waiver programs for employees and dependents. Key Responsibilities include (not limited to):

  • Serving visitors by greeting, welcoming, assisting and directing them appropriately

  • Answering visitors’ questions, calls, and emails

  • Ensuring all expenses, invoices, purchase orders, and contracts are processed timely and accurately

  • Assisting and supporting the day-to-day functions of the Marketing and Communications Office

  • Maintaining electronic records for all office business functions

  • Working with the finance department on journal vouchers

  • Creating, reviewing, updating, and disseminating internal and external communications via multiple modes and sources (contacting newspapers for ad reservations, internal newsletter, etc.)

  • Bulk envelope orders

  • Maintaining up-to-date signage on the University’s digital marquee

  • Managing a high-flow, professional office environment

  • Supervising student workers

Qualifications

Required:

  • High School diploma or equivalent (G.E.D.) AND two years of administrative support experience

  • Excellent writing and communication skills

  • Proficiency in time management and meeting deadlines

  • Experience with Microsoft and Google applications

Preferred:

  • Experience in higher education

  • Experience in marketing or communication office

  • Experience with enterprise financial systems
