BYU BYUSA Activities Coordinator in PROVO, Utah

Job Summary: 

 

The BYUSA Activities Coordinator has primary responsibility for the Activities area in the Student Connection and LeadershipCenter, which include (1) planning, implementing, and evaluating department and university-level events throughout the year that are high-profile and technical in nature; and (2) mentoring, training, and providing policy and procedure education for student volunteers. Associated responsibilities involve collaboration with relevant administrators and campus services, club advisors, student employees, and Student Connection and Leadership Center colleagues.

The essential functions of this position require in person work. Any exceptions are granted by university policies through employee relations. This position is located in an on campus workspace with the expectation that work takes place on campus to provide in person services and availability to BYU students, staff, administrators, and campus community during established and regular office hours. 

 

There is an expectation that the Activities Coordinator remain current and relevant in the field. There is an expectation and support for ongoing professional development. Event days often require physical exertion in setting up and taking down events, extended periods of walking and standing, and enduring variable weather conditions. In addition to essential functions of the job performed during regular office hours, this position does require work on some nights and weekends for the purpose of providing services to students, achieving the objectives of departments, and contribute to the mission of Campus Life. 

 

Essential Functions:

 

 

 

Program Management:

 

Create, develop, and hone evaluation and assessment tools, including an area purpose statement and objectives, to measure area efforts to fulfill the department Vision and Mission

Create, manage, and reconcile budgets for 18+ campus programs 

Define volunteer involvement opportunities and develop and implement effective recruitment strategies, including collaborative efforts

Develop, enhance, and train on experience design and management skills and techniques to discern and execute appropriate implementation

Develop, maintain, and enhance essential campus and off-campus relationships that are key to carrying out department programs and services

Direct the experience design, volunteer involvement, scheduling, budgeting, staffing, risk management, equipment, AV support, crowd control, evaluation, administrative approval, ticketing, marketing and promotion, etc. for several department, division, and campus events that vary in size and scale.

Ensure accuracy and relevancy of data and conclusions gathered through the area evaluation and assessment process

Manage 80+ student volunteers¿ schedules, work distributions, and workloads

Promote and support innovation and technology to improve efficacy of programming in fulfilling Student Connection and Leadership Center Vision and Mission and efficiency by maximizing resources

 

Student Development:

 

Conduct weekly coordination meetings with student volunteers focused on leadership mentoring and training

Create meaningful connections from th e BYU Mission and Aims to department efforts and use of allocated resources

Ensure that student volunteers can:

Facilitate increased student involvement, leadership opportunities, progression, decision-making accountability

Provide oversight for student involvement in the budgeting and purchasing process

Scaffold a student experience that allows for spiritual, professional, and character development (e.g. oral and written communication; evaluation, assessment, and implementation skills; problem solving; experience design and management skills; religious convictions; increased awareness of strengths; goal setting and attainment)

Teach and model the Student Connection and Leadership Center Vision and Mission to student volunteers, leaders and employees

Train, teach, supervise, and direct the work of student employees

 

Workgroups, Committees, & Assignments:             

 

Serve in department, division, and campus assignments as needed

Serve on 1-2 of any of the following workgroups or committees:

Serves as a member of the campus BYU Homecoming committee

 

Department Responsibilities:

 

Conduct macro and micro evaluations of department, area, and program efforts to assess inclusivity of individuals and ability to meet the needs of the collective student body

Foster and maintain relationships with college, department, and administrative connections

Maintain the integrity of the department budgeting, finance, and purchasing process

 

Level of Skill or Experience:

 

Education:

 

Minimum Bachelor's degree required or an equivalent combination of education and experience

Education Preferred

 

Experience:

 

Preferred Master¿s degree related to Student Affairs, preferably Recreation, Experience Design, or Non-for-profit
