The Professional Academic and Career Knowledge (PACK) center provides accurate, responsive, and respectful service to students with the goal of fostering retention to the University and student success. This unit's main function is to ensure that students receive a positive experience during their academic career regarding advising, coursework, and extracurricular activities.

Description of Job

This position will provide direct full-time professional receptionist services to students, staff, and the public as well as provide the unit with clerical and office support to assist with the maintenance of a highly efficient and effective office regarding student advising, outreach and retention activities, and to help promote student academic success.

Primary Duties:

Serve as Receptionist/Public Liaison

Serve as the initial point person and receptionist for the PACK Center.

  • Serve as receptionist to greet students and visitors, answer phones and provide information (verbally and in print as applicable) pertaining to the services provided by this unit and the University to students, staff, faculty, and the public by phone, email, or in person in a timely, personable, and professional manner.

  • Manage office traffic flow. Give guidance to resolve potential problems and explain procedures to staff, students, and the public.

  • Operate the phone message system and route calls and messages to appropriate people.

  • Schedule staff appointments through MS Outlook365 and Starfish.

  • Schedule events through MS Outlook and by collaboration with appropriate departments.

  • Implement front office processes and procedures to ensure time-efficient and effective operations.

  • Oversee front office area and maintain a professional appearance.

Supervise Student Employees

Hire, train and supervise the student employee staff of the PACK Center.

  • Assist the unit by the supervision of student employee receptionists through the assignment, training, and monitoring of daily tasks to help them to provide the highest level of customer service possible to students, staff, faculty, and the public.

  • Manage the unit's student employee receptionist team to include all stages of student employment while adhering to all Student Employment rules and processes (attend supervisor training, hire, train, supervise, assign tasks, manage reception coverage schedule, and reconcile hours to ensure students do not exceed set work study awards, and approve time sheets).

Arrange Travel

Serve as point of contact for PACK Center staff in completing travel authorizations, travel arrangements, and travel reimbursement.

  • Provide support to PACK Center team when travel is needed for professional development or training.

  • Guide the PACK Center staff in completing necessary items such as travel profile, registering for conferences, arranging airfare, booking hotels, and other related travel expenses.

  • Provide clear guidance to staff regarding responsibilities when traveling and support them in the reimbursement process upon return.

Provide Clerical Support

Provide clerical support to the unit as assigned or approved by supervisor by completing the following items in a timely and accurate manner:

  • Prepare various documents, record and produce meeting minutes, and participate in data collection and data entry projects.

  • Gather and disseminate information to students, staff, and other departments, using computer programs such as Banner, Starfish, Slate, Microsoft Outlook, AIS.

  • Participate in student outreach and staff event planning, event scheduling and clean up, make venue reservations, order food and other items as instructed.

  • Participate in training opportunities to strengthen or obtain work-related skills.

Serve as Backup P-Card Holder and Reallocator

Serve as backup P-card holder and reallocator for PACK Center program assistant. This position will support the Program Assistant I through their backup participation in the State Procurement Card (P-card) Program. This position will adhere to all State, University, and unit purchasing and scheduling rules and regulations.

Salary Range:

$3,255 to $3,589 monthly ($39,060 - $43,068 annually)

Due to budget constraints, we can only consider applicants who have 7 or fewer years in the Administrative Assistant series. Applicants who are new to the Classified system, or to the Administrative Assistant series, are also welcome to apply.

Minimum Qualifications

Experience Only:

Two (2) years of relevant experience in an occupation related to the work assigned to this position

OR

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years

Preferred Qualifications

  • Experience with Kuali system

  • Experience with Banner

  • Experience applying State Fiscal Rules and Purchasing Guidelines

  • Experience following State Travel Guidelines

  • Excellent written communication skills
