Overview:
INTECON, LLC seeks a proactive and experienced Executive/Senior Administrative Support Specialist to lead the Senior-Level Executive Administrative Support contract for the Defense Counterintelligence and Security Agency's (DCSA) Office of the DCSA Director (this office is composed of the DCSA Director, Deputy Director, and Chief of Staff; front office executive staff; and the Executive Secretariat). Responsibilities include overseeing task management systems, maintaining executive schedules, editing and managing correspondence, and ensuring seamless continuity of executive support services.
Key Responsibilities:
Executive Assistant Support: Provide, as necessary for mission operations, assistance to the DCSA front office staff in executive support duties. Support will include calendar management and schedule coordination; meeting preparation and room setup; printing and assembly of meeting materials; receiving and escorting visitors to or from the executive suite; answering and routing phone calls; ordering office supplies; and similar administrative functions.
Administrative Duties: Assist Executive Secretariat staff in performing the full range of administrative duties in support of the Office of the DCSA Director. Duties include:
Managing internal and external Agency-level tasks via the Correspondence and Task Management System (CATMS) or successor task management system
Reviewing and providing editorial assistance on staff correspondence packages and other documents
Distributing incoming correspondence to appropriate stakeholders; and performing other administrative tasks as necessary. Demonstrate proficiency in preparing and editing a variety of correspondence and other documents, to include application of DoD correspondence standards to ensure consistency in format and clarity of content.
Operational and Program Support: Provide senior-level expertise in task management systems and correspondence staffing procedures; this includes providing technical assistance, training, and procedural support to task managers and action officers in the use of CATMS or successor task management system. Serve as a liaison and point of contact for CATMS organizational maintenance activities (e.g., user accounts and team updates) and other technical support requirements.
Task Management: Oversee agency-level tasks via the Correspondence and Task Management System (CATMS) or successor systems, including assignment, tracking, and completion of tasks. Review, edit, and finalize correspondence to align with DCSA and DoD standards. Task management duties will include:
Assigning and monitoring Agency tasks
Tracking task suspense dates
Validating proposed responses for completeness and accuracy
Editing draft correspondence to conform to DoD and DCSA standards
Finalizing staff packages for senior executive approval or signature
Processing completed tasks or staff packages for appropriate action.
Act as the point of contact for CATMS organizational maintenance activities, user account updates, and technical support for DCSA staff.
Document Review and Editorial Support: Provide editorial support for staff correspondence and documents, ensuring they meet agency standards and are ready for senior executive review or signature.
Calendar and Schedule Management: Coordinate executive schedules, manage calendars, prepare for meetings, set up meeting rooms, print materials, and escort visitors.
Qualifications:
Bachelor's degree in Business Administration or a related field is required; a Master's degree is preferred. Equivalent years of experience or relevant certifications may be considered in lieu of a degree.
Minimum of 10 years of high-level administrative experience supporting senior executives in large, complex organizations, ideally in government or military settings.
At least 6 years of executive-level experience in calendar management, scheduling, prioritizing tasks, and handling sensitive, high-stakes correspondence.
Extensive experience (5+ years) managing task workflows in systems such as CATMS, SharePoint, or similar platforms, with proven ability to track and report on executive-level assignments.
Must have at least 3 years of experience providing complex administrative support to senior executives in a high-visibility, dynamic environment
Core competencies include experience in executive scheduling, time and calendar management, correspondence writing, and task management principles; and mastery of commonly used computer software and programs, to include the Microsoft Office suite of applications.
Certified Administrative Professional (CAP), Project Management, or similar certifications are strongly desired.
Advanced skills in MS Office Suite (Word, Excel, PowerPoint).
Solid understanding of DoD Security Policies.
Must demonstrate excellent written and verbal communication skills, attention to detail, and interpersonal skills of tact and diplomacy.
