Essential Job Duties:

We are seeking a highly organized, detail-oriented, and critical-thinking Business Services Coordinator to join our team, supporting the business operations within the Poole College of Management in the NC State community. The successful candidate will play a key role in coordinating various business and financial services, ensuring seamless operations, concierge-level service, and contributing to the overall success of our college.

Responsibilities:

Financial Administration:

Assist with processing financial transactions, including invoicing, reimbursements, pcard purchases and reconciliation.

Ensure accuracy and compliance with financial policies.

Travel Support:

Assists with booking and payment of travel accommodations.

Assists with travel reimbursements and ensures accuracy and compliance.

Procurement Support:

Facilitate the procurement process by developing and maintaining vendor relationships.

Ensure timely and cost-effective acquisition of goods and services.

Business Process Coordination:

Streamline and optimize business processes to enhance efficiency.

Coordinate with various departments to ensure smooth workflow and information exchange.

Assists with the preparation of financial deposits to the Cashiers Office.

Customer Service:

Serve as a point of contact for internal and external stakeholders seeking business services.

Address inquiries and provide assistance in a professional and timely manner.

Scheduling conference rooms.

Issue parking passes for meetings and events for external constituents.

Order catering for events in the college.

Required Qualifications:

  • Bachelor’s degree in business administration, finance, or a related field or equivalent experience.

  • Previous experience in a business services role is advantageous.

  • P-Card reconciliation experience and university travel experience

  • Proficiency in financial management and data analysis.

  • Excellent communication and interpersonal skills.
