POSITION TITLE: Academic Software Specialist

STATUS: Non-Exempt - Full time

PAY RANGE: $27.69 - $30.77

EDUCATION AND WORK EXPERIENCE:

  • Bachelor’s degree required

  • Administrative experience with Learning Management Systems such as Blackbaud and Canvas and Student Information Systems such as Populi preferred.

  • Academic records experience, Registrar’s Office experience preferred.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Ability to organize and manage multiple tasks, deadlines, and work cooperatively with the specified constituents.

SOFTWARE-RELATED SKILLS:

  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Teams.

  • Proficiency in Microsoft Outlook

  • Preference for proficiency in Learning Management Systems and Student Information Systems (i.e. Blackbaud, Canvas, Populi etc.)

  • Working knowledge of Parchment or similar academic transcript software.

  • Working knowledge of integrated database applications and ability to use new software programs with basic training.

SCOPE OF POSITION:

The Academic Software Specialist manages academic records on the Learning Management System/Student Information Systems software for all current and former students and supervises calendar and course set up, grading, records’ editing functions, the production of transcripts, enrollment/degree verifications, and the processing of requests from students for course changes (e.g. audits and pass/fail) while ensuring compliance with College polices.

The Academic Software Specialist oversees registration functions based on an understanding of college policies and procedures and database systems. The Academic Technology Support implements procedures for delivery of quality registration, produces the student schedules, and maintains numerous data tables and systems. The Academic Technology Support is responsible for providing information and reports to departments across campus and works in cooperation with the Director of Education and others to ensure academic policies and procedures are enforced and proper records are maintained.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Assists the Director of Education with:

  • The management, security, and integrity of student records in the Learning Management System/Student Information System in accordance with the standards recommended by the American Association of Collegiate Registrars and Admissions Officers and in compliance with all federal and state laws, statutes, rules, policies, procedures, and other requirements.

  • Keeps the registrar database/software current and accurate.

  • Assists in the preparation, development, and maintenance of the yearly academic and college calendar as an Excel document and in the Learning Management System under the supervision of the assigned Education Officer. Keeps both copies current. Publishes and posts the calendar according to the departmental policies.

  • Creates and updates weekly (calendar) bulletin for television monitors (Weekly).

  • The preparation of student schedules, rosters, and master class list. Keeps current the Learning Management System database and all other records pertaining to classes.

  • Reserves rooms for all classes and seminars.

  • Makes faculty/instructors’ class rosters available at the start of the quarter.

  • Oversees registration services by developing and documenting policies and procedures, implementing and maintaining effective systems, and working in cooperation with the Director of Education and others to ensure academic policies and regulations are followed and proper records are maintained.

  • The preparation of enrollment verification reports for internal use and for external agencies.

  • The preparation of reports to support advisement and institutional research. Assists in the development, implementation and processing of materials related to the Program Review Process for the department.

  • Facilitates the of transfer credit process.

  • The coordination and administration of registration procedures for all academic terms.

  • Ensures the accuracy of student records in the Student Information System and grading each quarter by coordinating audit reports and other quality assurance checks of student records, which includes examining credit hours and other critical information, requesting various reports, editing for errors, making necessary corrections, and reporting results to Director of Education.

  • Creates and maintains academic achievement lists (quarterly).

  • Works with other staff in the development of the college catalog.

  • Oversees registration of Worship Arts and elective courses.

  • The processing of transcript requests, collection of fees, and issuing of transcripts in a timely manner.

  • Conducts degree audits at the end of the academic year for graduating students.

  • As needed, supervise youth working part time jobs in the Education Department.

  • Maintains appropriate filing system for correspondence, transcripts, and other necessary paperwork.

  • Serves on various councils and takes minutes at the request of the Director of Education.

  • Performs other related duties as required.

SUPPLEMENTAL INFORMATION:

The College for Officer Training at Crestmont is a two-year, residential, coeducational, ACCJC-accredited institution with an enrollment of students preparing to be pastors in The Salvation Army. There is one general Education track with few elective options.
