Recruiting Coordinator

During the 12-week internship, they are paired with mentors and expected to collaborate with other interns and researchers, present findings, and contribute to the vibrant life of the community.

The Research Intern Program Team hires hundreds of Research Interns each year in the U.S. Our focus is to provide a world class experience for each intern and hiring manager. The team hires, onboards, plans, and delivers intern events and much more.

This position requires someone who is well organized, has excellent communication skills, the ability to set priorities and handle high volume and multiple tasks simultaneously with little direction. The ability to respond in an appropriate manner to a rapidly changing environment is important to the success of the role.

The ideal candidate must be extremely detail-oriented, and, given the extremely fast pace of the team, must be masterful at prioritizing and executing quickly with high energy and a professional attitude. This person must have high integrity and can handle confidential information appropriately.

Responsibilities will include (but are not limited to):

Recruiting Assistant

o Assist staffing program manager with offer and hiring process.

o Tracking and process hires in internal tools.

o Data entry of candidate information and records

o Update offer information

o Partner with intern staffing PM on staffing projects as needed.

o Welcome interns on day of arrive (1-60 every Monday)/Attend Intern New Intern Orientation (NIO)

Event Coordination and Support

o Event planning support

o Track and manage invite responses/waitlist management.

o Procure and reserve venues.

o Ordering and coordinating of catering

o Onsite event support, as appropriate

o Swag ordering and tracking.

Special Project Support

o Assist team members with ad-hoc administrative tasks.

o Assist with special projects as needed

Intern Operations

o Headcount tracking/management

o Team SharePoint Site maintenance/calendars

o Support intern inquires and/or direct them to correct resources.

o Providing top notch support to team members by taking their requests and determining proper next steps to drive task to completion.

o Assist interns with processing and preparing expense reports.

Qualifications: What it takes to be successful in this position...

· Recruiting support, administrative, and or event planning experience is a plus.

· Project management a plus.

· Experience with iCIMS a plus.

· Be an enthusiastic, energetic, and curious individual who can provide support to a high energy team. This position will provide you with a multitude of tasks designed to expand your knowledge and stretch your abilities.

· Must be a self-starter with the ability to anticipate needs and act ahead of direct guidance in a fast-paced environment.

· Willingness to change directions at a moment's notice with a positive, "can-do" attitude.

· Demonstrated drive and initiative to identify, solve, and follow-through on problems and the ability to act independently to achieve results with a high degree of accuracy, professionalism, and attention to detail.

· Outstanding project and time management skills, and the ability to handle multiple simultaneous projects at once.
