Job Description Summary

The Sr. Project Manager – Digital – the “Project Lead” – is responsible for cross-functional project management of high visibility, multi-year grant activities related to the Wisconsin BioHealth Tech Hub. The Project Lead drives cross-functional planning, tracking, communication of status, and execution of a federally funded GEHC program in the digital oncology sphere. This individual manages wing-to-wing execution of scopes of work defined by GEHC product teams and external partners across the development, management, and closure of the program, while meeting all quality, content, schedule, and budget targets. They will liaise between key internal GEHC functions such as product management, engineering, operations, research, quality, and finance, and external healthcare professionals from collaborating institutions.

Job Description

Roles and Responsibilities

  • Manage cross-functional wing-to-wing execution of multi-year project defined by research/product managers and approved by external grant funding agency

  • Ensure execution towards milestones and deliverables in line with contracted statements of work. This includes working with cross functional product teams and GEHC functions (legal, finance, quality, GEHC grants team) to ensure delivery per grant requirements, GEHC research and quality procedures, and other applicable GEHC policies

  • Develop and track towards project plan while enabling reporting. Proactively identify potential program deviations and work with internal and external stakeholders to identify next steps

  • Work with GEHC product teams to finalize scope of work definition for external contractors and parties, collect final quotes and negotiate contracts, and oversee execution per contract

  • Develop and track budgets across project lifecycle and ensure appropriate reporting per federal grant and GEHC requirements. Review subcontractor(s) budgets and scope, review remaining material, and travel left on the project

  • Work with operations team to ensure quarterly and bi-annual reporting requirements are met. Lead internal status report outs with key internal stakeholders, and report out to/work with external consortium governance committee

  • Liaise with internal team (including product leaders) to ensure continued alignment of project work with GEHC strategy and roadmap

  • Serve as external point of contact for grant consortium and external subcontractors

  • Work with employees and direct managers to monitor the hours charged by employees to their projects. As needed, request details from the identified employee(s) regarding the basis for the hours charged to adhere to reporting guidelines

  • Run and monitor reports on travel & expense charges monthly for reasonableness and compliance with applicable policies and guidelines, working with finance or people leaders as needed for any compliance concerns

  • Monitor and communicate overarching program risks – including scope of work deviations, timeline delays, potential time charging overruns. Leveraging a solutions-based approach, clearly communicate risk and potential mitigations to leadership team, escalating as needed

Qualifications & Requirements

  • Bachelor’s Degree in engineering, life sciences, clinical field or equivalent (Associate Degree plus four years business or research experience)

  • 2+ years of experience project managing clinical and/or technical research studies in a clinical setting, industry, or government agency

  • Demonstrated success in projects requiring accuracy with details, documentation, and communication between parties

  • Ability to deal with ambiguity in navigating potential program deviations, next steps, and risks

Desired Characteristics:

  • Strong oral and written communication skills. Ability to document, plan, communicate, and execute programs.

  • Experience working with healthcare professionals and/or academic institutions

  • Experience in grant management

  • Demonstrated understanding/experience with Good Clinical Practices, global and regional research regulations, research processes, New Product Introduction (NPI) cycle, and cross-functional interdependencies

  • Experience within the digital and/or oncology space

  • Basic understanding of key business drivers; uses this understanding to accomplish own work. Good understanding of how work of own team integrates with other teams and contributes to the area.

  • Autonomy to make decisions within a defined framework. Resolves issues in situations that require good technical knowledge and judgment within established procedures. Consults more senior team members for issues outside of defined instructions/parameters.
