The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

SUPERVISION AND DIRECTION RECEIVED: Receives minimal direction from physician, mid-level providers, department head and/or administrative officer. Is responsible for independently planning, executing and evaluating own work.

Responsibilities
GENERAL PURPOSE:
With minimal direction and considerable latitude for independent judgment, performs complex secretarial and administrative duties in a fast-paced environment in support of clinical, educational, and academic programs across multiple service lines. Responsible for all clinic preparations, including but not limited to, providers┐ time and calendar management while optimizing provider patient schedule, coordination of patient care and information/data support, clinical authorizations and internal and external orders and referrals. Must be able to triage incoming calls, schedule patient appointments, obtain pertinent medical information and accurately document in the appropriate programs, including the electronic medical record (EMR). Candidate will coordinate functions associated with patient information for ambulatory visits and act as a resource for staff performing patient-related functions. Candidate must demonstrate capability and desire to work independently and be a strong team player. Demonstrates ICARE* values in each of the major responsibilities.
RESPONSIBILITIES:
Clinical Support (35 %)
Interacts with patients, families, providers and other offices on the telephone and in person to provide support for a pediatric multi-specialty office. Must demonstrate ability to timely answer and efficiently triage incoming calls, determine nature/urgency of the calls, and handle appropriately. Must be able to communicate effectively and relay information correctly and efficiently in a complex medical environment.
Assesses calls to understand patient needs, prioritizes medical concerns and obtains responses from providers and follows up with patient.
Manages referrals (via Epic EMR and fax/mail) and schedules patient visits. Registers patient demographic and insurance information.
Responsible for clinical prep. Obtains and ensures referral paperwork is scanned into patient charts prior to each visit. Prints labels and prepares clinical documents and delivers to clinic. Ensures appropriate clinic paperwork is scanned into the chart after the visit.
After each clinic, reviews schedules/office note encounters for scheduling follow up.
Works with Practice Manager to ensure outpatient clinics are opened and closed appropriately. Develops and works ┐bump┐ and reminder lists effectively, timely and accurately.
Attends clinic, as necessary. Performs check-in and/or check-out duties. Schedules follow-up appointments for patients. Provides clinical and clerical support to providers.
Provides cross coverage when Outpatient Access Rep is not available.
Works with parties to exchange information for prompt prior authorization confirmations.
Ensures prior authorizations are completed in a timely manner and that follow up is completed.
Anticipates internal and external requirements for success to efficiently navigate workflows.
Prepares and reports metrics regarding prior authorizations.
Administrative (5 %)
Schedules and prepares agenda for division meetings. Follows up on issues as necessary, including drafting meeting minutes.
Attends office staff meetings and other relevant meetings, as requested.
Provides clerical assistance, including distributing mail, create routine & non-routine mail correspondence to families & outside offices, scanning, faxing and errands.

Provider Support & Referral Management: (35%)
Main contact for ensuring all referrals are completed in a timely manner and that follow up is completed.
Gathers all necessary information for referrals for insurance companies.
Makes sure that patient is aware of the referral and assist in making appointment.
Tracks the entire referral process from placement to completion.
Follows up to confirm all orders are placed correctly in Epic EMR for the procedure or testing that has been ordered. Is accountable for completeness of all relevant information.
Follows up with patient and ensures appointments for referrals were completed
Prepares and reports metrics regarding referral management
Misc. (10%)
Provides insurance companies with information needed for services, testing, & labs.
Assembles, from multiple tabs within the electronic medical record, the necessary details for review and inclusion when completing disability paperwork.
QUALIFICATIONS:
High School diploma required
Associates degree in Medical, Secretarial or related field preferred
Minimum of two years of relevant experience required
Medical Terminology preferred,
Demonstrated customer service skills, specifically strong oral and written communication skills preferred.
Knowledge of Epic EMR and Microsoft Office programs preferred.
Demonstrate accuracy in all correspondence including Epic EMR preferred.
Ability to work in a fast-paced, stressful environment, demonstrate efficiency in prioritizing assignments, and be able to multi-task preferred.
