The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
With minimal direction and considerable latitude for independent judgment, performs complex secretarial and administrative duties in a fast-paced environment in support of clinical, educational, and academic programs. Responsible for all clinic preparations, including but not limited to, providers' time and calendar management while optimizing provider patient schedule, coordination of patient care and information/data support.
SUPERVISION AND DIRECTION RECEIVED: Receives minimal direction from physician, mid-level providers, department head and/or administrative officer. Is responsible for independently planning, executing and evaluating own work.Schedule 8 AM-4:30 PM Responsibilities POSITION SUMMARY: With minimal direction and considerable latitude for independent judgement, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency for the Department of Gastroenterology. Secretary is responsible for considerable departmental administrative details and duties requiring extensive experience with policies, procedures, and practices of the University and the Department of Gastroenterology and Hepatology. TYPICAL DUTIES: Administrative Support Disseminate correspondence to patients per direction from providers regarding results of procedures, tests and other information pertinent to patient's gastrointestinal health. Respond to provider's requests to alter their master schedules as requested. Assures schedules are accurate and changes are made in a timely manner. Some management and coordination of provider calendars related to attendance at conferences and conventions so as not to interfere with patient schedules. Process requests for medical information from provider's offices in a timely manner to ensure patient receives quality care. Assures all notifications are professional and timely. Obtain authorizations for office visits, procedures, radiology and other testing as required by insurance companies. Patient Scheduling Schedule procedure and office appointments for patients at multiple locations using electronic scheduling systems. Extensive use of electronic medical record system to correspond with attending physicians, midlevel providers, patients, internal customers, external provider's offices, and others regarding the status of patient requests for appointments. Accurately communicate to patients various preparation requirements for GI procedures and other appointments in writing, by telephone, and electronically. Effectively maintain clinic schedules of multiple providers; consistently monitoring them for opportunities to improve all provider's productivity and increase appointment availability and access for our patients. Patient Call Triage Determine appropriate disposition of incoming patient phone calls, tasking appropriate provider, and scheduling follow up appointments as necessary. Communication with call center staff members providing them with appropriate direction on GI policies and procedures. Ensure phone calls are routed to correct pool or provider in a timely manner. Work queue and in-basket management and oversight Work multiple work queues on a daily basis and maintain appropriate levels of messages in eRecord in-baskets. Assist teammates with coverage of in-baskets during vacations, absences and lunch periods. Respond to urgent requests within assigned work queues in a timely manner. Other duties as assigned QUALIFICATIONS: - Associates degree in Medical, Secretarial, billing or related field and a minimum of three years of relevant experience required; or an equivalent of combination of education and experience required. - Medical terminology, experiences with surgical/appointment scheduling software (such as Flowacst), and electronic medical records.
