Job Function:
This position is the lead secretary for the Mathematics Department at Monroe Community College, a complex academic department that includes 25 full-time faculty members, and 40 actively working adjuncts. The Department has certificate and degree programs including an online degree program, and supports over 80 different academic and career programs at the College, each of which has a mathematics requirement. This position works under the general supervision of the Mathematics Department Chairperson and has considerable independence in referring or responding to inquiries.
Primary Functions:
Acts as receptionist for administrator, greeting visitors, answering phones and scheduling appointments
Maintains and Manages Math Department Calendar
Triages emails received by the math department email address
Assists department committees with event planning, projects and tasks
Inputs faculty workload
Prepares agenda for department meetings
Generates reports using MCC systems
Assists with onboarding new faculty
Manages office moves within the department
Maintains and establishes confidential files and general office files
Compiles and maintains department Course Information Sheets (CISs)
Collects and maintains retention files
Maintains department bulletin boards with current information
Orders textbooks for department faculty and assist faculty with textbook orders for the bookstore
Assists in preparing budget justifications
Works independently to perform various clerical tasks such as scheduling; and proofreading materials for consistency, spelling, grammar, punctuation, and identifying possible errors
Transmits administrative directives and policies throughout the department
Orders office supplies
Routes mail
Schedules use of departmental conference room
Checks, codes and processes requisitions
Operates standard office equipment
Responsible for contributing to and maintaining an inclusive and collaborative College environment
Job Requirements:
Required Qualifications:
Must currently hold the civil service title of Secretary II or be on the current eligible list for this title OR meet the following minimum qualifications to be eligible for a provisional appointment, if offered:
MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma, plus EITHER:
(A) Three (3) years paid full time or its part time equivalent office secretarial experience; OR,
(B) Graduation with a diploma or certificate from a school of business or business institute with a major in Secretarial Science, Word Processing, or a related area, plus two (2) years of experience as defined in (A) above; OR,
(C) Graduation from a regionally accredited or New York State registered college or university with an Associate's degree in Secretarial Science or related area plus one (1) year of experience as defined in (A) above; OR,
(D) Graduation from a school of business or business institute with an Associate's degree in Secretarial Science, plus one (1) year of experience as defined in (A) above; OR,
(E) Any equivalent combination of education and experience as defined by the limits of (A), (B), (C) and (D) above.
Must be a Monroe County resident
Preferred Qualifications:
Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

Job Type: Full-time
Hours: Monday - Friday, 8:45a to 4:45p
Salary: $38,638.57 per year. Eligible for increment increase after 6 months of service.
