The referenced pay range represents the first and last step pay rates for this job, as set forth in the applicable collective bargaining agreement. Individual pay will be set in accordance with terms of the applicable collective bargaining agreement.

Responsibilities

POSITION SUMMARY:

Provides clerical, receptionist and customer service to patients, families, and unit staff while maintaining confidentiality as a member of the unit support team; works closely with the Nursing Leadership on the unit to assist in addressing patient and family needs.

SUPERVISION AND DIRECTION EXERCISED:

None. May orient new Patient Unit Secretaries.

MACHINES AND EQUIPMENT USED:

Telephone, computer terminal, including emergency backup computer, intercom, pneumatic tube system, copy/scanner/FAX machine, printers, shredder and security door operation system.

TYPICAL DUTIES:

  • Greets and receives all visitors and URMC staff to the unit in a professional manner, demonstrating the "I CARE" values as well as Patient/Family Centered Care Principles. Offers appropriate directions and guidance to patients, visitors and staff. Provides courteous and accurate telephone coverage. Takes and delivers messages accurately. Triages problems to the appropriate person or department.

  • Maintains accurate information for admissions, discharges and transfers according to unit and hospital requirements. Maintains update of patient location when off the unit. Maintains paper patient files/folders.

  • Completes and processes requisitions for equipment. Assists in scheduling appointments for patients.

  • Obtains patient care equipment as requested by nurses and/or physicians. Notifies departments of equipment in need of repair.

  • Communicates and works effectively with other departments on patient, staff or unit related matters. Follows direction of nurses, physicians and other authorized personnel during emergencies.

  • Orders supplies/forms, assures their arrival and restocks appropriately.

  • Maintains clean and orderly work environment.

  • Provides assistance on other units as necessary.

  • Assists with patient transport as needed.

QUALIFICATIONS:

High school education and 1 year of clerical experience, with demonstrated customer service skills, legible writing and effective verbal communication skills; or an equivalent combination of education and experience. Proficiency with basic computer and medical terminology skills preferred.
