We are offering a contract to hire employment opportunity for a Customer Service & Sales Administration Specialist in Rockford, Illinois. This role is integral to our operations, requiring the successful candidate to work directly with customers, sales, production planning, quality, and shipping personnel. The position will involve the analysis of information from ERP/CRM systems, order entry, forecasting, and resolving customer queries and complaints.

Responsibilities:

• Manage and act upon all customer orders, including order entry, forecasting firm purchase orders/releases, inquiries, complaints, production status, shipment status.

• Analyze and edit customer orders and inquiries, obtaining appropriate information and responding by written and verbal communications.

• Respond to customer inquiries that require a decision of content of information that is being communicated to the customer.

• Process and manage all Customer Complaint Requests for assigned customers.

• Transmit verbal and written information from customers to sales personnel and various internal departments.

• Request art, product, and tool service estimates based on quotation inquiries from customers and/or sales personnel.

• Manage and analyze inventories for key accounts.

• Initiate and manage new product launches, contract reviews, request for pricing, new part numbers, printing plates, etc.

• Participate and give direction in daily meetings and weekly shipment meetings.

• Coordinate customer order shipment.

• Prepare customer order invoices.

• Maintain running forecast of monthly sales dollars.

• Communicate changes in customer forecasts to Production, Planning, and Sales Representatives.

• Generate status reports to ensure on-time delivery.

• Maintain all customer complaints to ensure a timely response.

• Prepare and send customer requested samples.

• Perform other special assignments duties as assigned.

Requirements • Proficiency in Accounting Software Systems

• Experience with Concur software

• Ability to perform Data Processing tasks efficiently

• Familiarity with Great Plains (GPAC) software

• Advanced skills in Microsoft Excel

• Knowledge of Accounts Payable (AP) procedures

• Experience with Billing Functions

• Proficiency in Check Processing

• Strong Customer Service skills

• Ability to perform Data Entry tasks accurately and efficiently
