College of St Benedict Transcript and Eligibility Coordinator in Saint Joseph, Minnesota

Position Summary The Registrar's Office at the College of Saint Benedict (CSB) and Saint John s University (SJU) invites applications for a full-time (1.0 FTE), benefit eligible position of Transcript and Eligibility Coordinator. The Transcript and Eligibility Coordinator is responsible for managing key functions within the office, including athletic eligibility, transcript processing, and educational verifications. The person in this role oversees the processing of all transcript requests, both electronic and paper, for current and former students. They conduct semesterly reviews and verify student athletic eligibility for both the College of Saint Benedict and Saint John s University. Additionally, they handle all online and manual educational verification requests and maintain permanent records for all current and former students of both institutions. This role requires attention to detail, efficient handling of requests, and close collaboration with relevant departments to ensure compliance with institutional and regulatory standards. Responsibilities Records Management: (35%) Manage and prepare transcripts as requested by current and former students, and school officials through online, in-person and written requests. Management of this processing requires handling the information transmitted through the National Student Clearinghouse online system, responding to email and phone inquiries while accommodating student deadlines, when appropriate. Maintain all student academic records (paper, microfiche and digital) for current and former students at CSB and SJU. Including the processing of name, address, and social security number changes. Monitor the receipt and uploading of high school transcripts for incoming first year students. Athletic Eligibility Oversight: (25%) Verify and maintain all athletic eligibility rosters for CSB and SJU varsity sports and select club sports. Including determining student eligibility, providing rosters to outside agencies (MIAC, NCAA) for certification of eligibility, maintaining historic records of rosters, updating the Banner student information system, and running ad hoc reports for coaching staff. Educational Verification Oversight: (20%) Manage student educational verifications through the National Student Clearinghouse online system as well as other manual requests, as needed (forms, letters, etc.). Oversee the enrollment and degree file process through the National Student Clearinghouse including remedying errors or omissions. Process undergraduate student withdrawals from the institutions. This includes updating their transcript, academic record and reporting the information to the National Student Clearinghouse. General Duties: (20%) Provide assistance with regular interactions with students, faculty, and others seeking Registrar's Office services through in-person visits, phone calls, mail, and email inquiries. Enter scores for Math/Foreign Language and other placement or proficiency exams. Prepare listings of students for CSB and SJU commencement programs including commencement booklet, seating charts, scripts and line-up for all degree candidates. This includes verifying and supplying all Honors candidate n mes for both institutions. Manage admission and registration for special student populations. Assist with course pre-registrations for specific students, such as Nursing cohorts, Fine Arts Scholarship students and other individual courses. Also assist with updating registration holds each semester. Manage mail service through the U.S. Postal Service. Assist with major projects related to the operations of the office at various times of the academic year, as the job duties allow. This may include working on holidays, other office or institutional events such as Labor Day, end of term processing during winter break, or Commencement.
